Position Type: Full-Time or Part-Time

Overview
We are seeking a highly capable, detail-driven professional who excels at transforming complex ideas into polished, high-quality deliverables. This role supports the Program Director of a high-acuity behavioral health program (CYCSU), contributing to clinical, operational, and training initiatives.

This is not a traditional administrative role. The ideal candidate is proactive, highly organized, and confident managing multiple priorities while producing professional, presentation-ready work with minimal oversight in a fast-paced, high-responsibility environment.

What You’ll Be Responsible For

  • Providing high-level organizational and administrative support to the Program Director, including managing priorities, tracking tasks, and supporting day-to-day operational flow

  • Preparing, editing, and finalizing high-level documents, reports, policies, and training materials

  • Designing and refining PowerPoint presentations for staff trainings, leadership meetings, and program development

  • Translating rough concepts, notes, and clinical/program content into polished, professional outputs

  • Supporting development and organization of training curricula, staff education materials, and program resources

  • Assisting with CYCSU-specific documentation, including program updates, operational materials, and compliance-related documents

  • Supporting coordination of program initiatives, staff trainings, and internal projects

  • Assisting in the organization and coordination of a multidisciplinary team (clinical, nursing, and leadership) to support communication flow and operational alignment

  • Maintaining organized shared drives, templates, and documentation systems for program use

  • Drafting and refining internal communications, leadership correspondence, and cross-department materials

  • Assisting with onboarding materials, staff resources, and program guides

  • Supporting data tracking, basic reporting, and presentation of program metrics when needed

  • Anticipating needs, identifying gaps, and proactively offering solutions to improve workflow and efficiency

A Day in the Life at CYCSU
No two days are the same. CYCSU is a high-acuity, fast-paced behavioral health environment serving youth and families in crisis. The work is meaningful, dynamic, and requires adaptability, focus, and professionalism.

A typical day may include:

  • Reviewing priorities with the Program Director and organizing tasks to support daily and weekly goals

  • Finalizing a training presentation in the morning for a same-day staff training

  • Editing a policy or operational document to ensure clarity, compliance, and readiness for leadership review

  • Coordinating communication or materials across multidisciplinary team members

  • Organizing and updating program materials, shared drives, or on-boarding resources for new staff

  • Assisting with real-time requests from leadership as program needs shift throughout the day

  • Supporting communication drafts related to program updates, partner coordination, or internal needs

  • Preparing materials for meetings involving multidisciplinary teams (clinical, nursing, leadership)

  • Tracking updates to ensure documentation and materials remain current and aligned

The environment requires the ability to shift priorities quickly, maintain attention to detail under pressure, and produce high-quality work within tight time frames.

Minimum Qualifications (Required)

  • Associates or Bachelor’s degree

  • 3–5+ years of experience supporting senior leadership, executives, or program directors

  • Advanced proficiency in Microsoft PowerPoint, Word, and Google Workspace

  • Demonstrated ability to produce clean, professional, error-free documents and presentations

  • Strong written communication and editing skills

Preferred Qualifications

  • Experience in behavioral health, healthcare, education, or nonprofit environments

  • Familiarity with crisis services, youth services, or community-based programs

  • Strong presentation design skills (Canva or equivalent)

  • Experience supporting trainings, curriculum development, or program operations

  • Experience supporting or coordinating multidisciplinary teams
