Hicks Nurseries, the premier retail and wholesale garden center on Long Island, is looking for a Lead Accounts Payable Specialist to help drive the accuracy and efficiency of our finance functions. With a proud legacy in the industry, Hicks offers a fast-paced, friendly environment where collaboration and high standards are central to how we work.

 

We’re looking for a detail-driven, organized, and friendly professional to help keep our financial operations running smoothly. In this role, you’ll take the lead on Accounts Payable, administer payroll, support key finance functions, and help improve the systems and processes that keep our business moving forward.

 

Key Responsibilities:

 

Accounts Payable Management

  • Perform daily A/P operations, including vendor setup, documentation (W-9s, applications, insurance), and supervision of the Accounts Payable Specialist.
  • Process merchandise, expense, and freight invoices from start to finish; resolve vendor and internal inquiries.
  • Prepare and execute timely payments, including checks, mailing, and Positive Pay notifications.
  • Maintain accurate invoice files and check stock.
  • Upload and verify data between Counterpoint and Microsoft Dynamics GP; prepare monthly A/P accruals.
  • Perform reconciliations
  • Prepare and file annual 1099s.

Payroll Administration

  • Prepare, process, reconcile, analyze, and report payroll and related financial information.

Finance & HR Support

  • Provide backup and project support to the CFO.
  • Assist the VP of Human Resources with payroll reporting and related analysis.

Process Improvement & Documentation

  • Maintain the accounting record retention program.
  • Develop, document, and improve workflows and procedures to increase efficiency, accuracy, and consistency.

 

Position Requirements:

  • Associate’s degree in accounting.
  • Minimum 4 years of Accounts Payable experience.
  • Strong numerical accuracy and financial reconciliation skills.
  • Proficiency in Microsoft Office, including advanced Excel.
  • Ability to quickly learn and apply new software systems.
  • Strong attention to detail with exceptional accuracy.
  • Ability to meet weekly, monthly, and annual deadlines in a high-volume environment.
  • Discretion and professionalism in handling sensitive payroll and financial information.
  • Strong communication skills (written and verbal).
  • Service-oriented mindset when interacting with internal teams and external vendors.
  • Strong problem-solving and critical-thinking abilities.
