The Administrative Manager 1 provides leadership and oversight for the administrative support staff within Facilities Operations and Development (FOD) Operations. This role ensures departmental goals and guidelines are met by determining appropriate courses of action and delegating responsibilities effectively. The position involves performing complex office support duties and assisting in the management of office operations. The supervisor collaborates with Operations leadership on strategic planning for administrative staff and plays a key role in maintaining efficient workflows.
Key Responsibilities
- Lead and manage a team of Administrative Assistants, providing direction, mentorship, and performance management.
- Conduct performance evaluations, review compensation, and make employment decisions aligned with departmental objectives.
- Oversee daily administrative operations, including calendar management, correspondence, and problem resolution.
- Assess inquiries and concerns directed at FOD Operations, determine appropriate responses, and delegate tasks accordingly.
- Oversee and provide leadership to a team of four Administrative Assistants within FOD.
- Provide direct support to multiple levels of leadership, including 1 Senior Director, 3 Directors, and 7 Associate Directors.
- Collaborate with Operations supervisors on strategic planning for administrative staff.
- Ensure compliance with departmental policies and procedures while maintaining high standards of service.
Minimum Qualifications
- Valid drivers license.
- Education: Bachelors degree or equivalent experience.
- Experience: Minimum of 3 years of relevant experience required; 48 years preferred.
Required Skills and Experience
- Strong analytical, organizational, and communication skills.
- Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel.
- Ability to work independently, adapt to shifting priorities, and solve problems effectively.
- Knowledge of university procurement systems or financial reconciliation processes is highly desirable.
Preferred Qualifications
- Proficiency in Workday, Smartsheet, and CMS.
- Experience in planning, scheduling, and collaborating with senior leadership.
- Familiarity with Ohio State University policies and procedures.
- Prior experience coordinating across multiple groups.
The target hiring range for this job profile is $70,100-$91,600 annually. The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
