Our client, a leading organization in the financial services industry, is seeking an Executive Assistant to join their team. As an Executive Assistant, you will be part of the Administrative Support team supporting senior leadership including the Global Heads of Healthcare, Managing Directors, and Vice Presidents. The ideal candidate will have strong organizational skills, adaptability, curiosity, and a collaborative mindset which will align successfully in the organization.

Contract on W2

What's the Job?

  • Manage complex calendars and coordinate meetings across multiple stakeholders and time zones
  • Arrange domestic and international travel, creating detailed itineraries and handling travel policies
  • Support business development activities, including client meetings, NDAs, and industry events
  • Handle expense reports with accuracy and timeliness, ensuring proper documentation and tracking
  • Build and maintain strong relationships with team members and clients through effective communication and responsiveness

What's Needed?

  • Minimum of 5 years of administrative experience, preferably in financial services or a fast-paced professional environment
  • Proven ability to manage complex calendars and coordinate schedules effectively
  • Exceptional organizational skills with keen attention to detail
  • Proactive, resourceful, and capable of anticipating needs independently
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with travel and expense systems such as Concur
