Job Title: Electronic Learning Development Specialist Department: Social Work | Research Administration

The Electronic Learning Development Specialist reports to the Principal Investigator of the 988 Lifeline Training Series grant and is responsible for managing asynchronous trainings for the 988 Lifeline Training Series and other projects as assigned for the 988 Lifeline Training Series grant. This position is responsible for converting live trainings into asynchronous trainings and for creating asynchronous certificate programs, ensuring that all asynchronous 988 trainings meet all continuing education board certification standards for three registration boards (Ohio Counselor, Social Worker and Marriage and Family Therapist Board, Ohio Chemical Dependency Professionals Board and Association of Social Work Boards ACE Program). The position communicates with all presenters for asynchronous 988 trainings as needed, handles contracts for external presenters for 988 asynchronous trainings through the university process, gathers presenter payment information and liaises with HR for approval of payment for internal asynchronous presenters, and is responsible for ensuring accessibility accommodations for participants for asynchronous 988 trainings.

Must have full mastery of multiple databases and software tools, including, but not limited to: Canvas for Continuing Education, Destiny One, CE Broker, CarmenZoom, Workday, DocuSign, WordPress and Qualtrics. Works closely with marketing and communications on promoting asynchronous 988 trainings through Canvas for Continuing Education and manages course evaluations for asynchronous trainings. Oversees the creation and editing of reports for continuing education to CE Broker as a requirement of the Ohio Counselor, Social Worker and Marriage and Family Therapist Board and the Ohio Chemical Dependency Professionals Board.

Acts as a liaison with the university Professional and Continuing Education team and the Office of Technology and Digital Innovation (OTDI) to troubleshoot system issues and registration issues with all asynchronous courses and all asynchronous customers internal and external to the university. Uses a variety of software and online applications to support processing of asynchronous presenter payments and contracts, ensuring compliance with college and University policy. Facilitates ongoing communication with stakeholders, including grant funders.

This position also manages the conversion of live 988 trainings into self-paced versions in Canvas for Continuing Education and submits requests for new course listings and certificates for asynchronous trainings to the Professional and Continuing Education team. Coordinates the collection and formatting of course assessment questions and reference lists from presenters. Tasks include helping to set up course shells and listings in Canvas for Continuing Education and facilitating listings in Destiny One, coordinating with a video editor, and inputting information about each unique course into the Canvas and Destiny One systems. Responsible for helping to create and test each new asynchronous course, closing outdated courses as necessary, and maintaining the list of asynchronous courses through audits and updates.

The position assists with adding new asynchronous trainings to the Social Work website and liaises with a third-party marketing team to manage the development and distribution of newsletters to advertise trainings.

In addition, this position provides support to presenters who develop course content and acts as a liaison to the Office of Digital Technology and Innovation, Digital Innovation and Learning (Educational Technology office), and the Continuing Education office in the college.

The position submits applications for asynchronous continuing education approval to the Director of Continuing Education as needed and keeps track of the approvals for each asynchronous training. The position supports other 988 grant staff with technical asynchronous course issues. The position helps with tracking asynchronous training data for the grant funder. The position assists with updating and distributing asynchronous presenter agreements for external and internal presenters in DocuSign.

The position is also responsible for assisting with the design and development of direct-to-asynchronous certificate programs for 988 call specialists. As part of this role, the position liaises with members of the 988 quality assurance grant to assess training topic needs and helps to identify and recruit potential subject matter experts. The position collaborates with subject matter experts to develop learning objectives for each training, assists with the creation and editing of content for the certificate program, and develops multimedia content such as videos, interactive activities, and infographics to support student learning. The position also takes the lead on the pilot process for certificate trainings and oversees the process of piloting new trainings and reviewing the feedback from the pilot process with the Director of Continuing Education.

Required Qualifications

Bachelor's degree or equivalent experience. 2 years of relevant experience required.

Desired Qualifications

2-4 years of relevant experience preferred.

The salary range for this position is $55,700 to $72,700 annually. The actual salary will fall within this range based on the candidates qualifications, internal equity, and the units available budget. This is a term position which is grant funded and is contingent upon external funding availability.

Responsibilities:

  • Coordination, management, facilitation and evaluation of asynchronous continuing education trainings via a multitude of software programs. Ensure compliance with reporting requirements for asynchronous trainings for three licensure boards: OCSWMFT (Ohio Counselor, Social Worker, and Marriage and Family Therapist Board), OCDP (Ohio Chemical Dependency Professionals Board), and ACE (Approved Continuing Education). Manages the creation of asynchronous 988 course registration in collaboration with the Professional and Continuing Education office and facilitates all aspects of 988 asynchronous course development from recruitment of presenters and conception of topics through completion. Oversees the creation of all asynchronous 988 course registrations and evaluations through Canvas. Assists with developing and managing asynchronous reports for internal purposes, creates and tracks data for grant funders, and reports CE completions to CE Broker, a state-required function for all continuing education programs .
  • Oversees the conversion of live trainings into asynchronous courses, handling the creation and maintenance of all 988 asynchronous courses. Obtains permission from presenters for asynchronous trainings through contracts in compliance with university policies. Acts as liaison with OTDI, troubleshoots all technical issues with 988 customers, collaborates with the Office of Digital Learning and Innovation (EdTech), and content creators/presenters to resolve any issues/concerns with asynchronous courses. Handles high volume of asynchronous trainings and attendees, averaging 12+ hours of asynchronous content per month, with approximately 1500+ asynchronous course participants. Develops 988 asynchronous training marketing materials and updates asynchronous listings on the website. Assists with asynchronous presenter payments and managing asynchronous contracts, ensuring compliance with relevant policies.
  • General administrative and customer support assistance. Aids with routine reporting of asynchronous course completions to CE Broker as needed. Aids with issuance of certificates for asynchronous courses as needed. Serves as the 988 Canvas contact and assists with troubleshooting for asynchronous courses. Provides coverage for other staff as needed (inbox coverage, etc). Technical proficiency and software skilled with apps and software including: Workday, Canvas Catalog, CarmenZoom, MailChimp, Adobe Acrobat, go.osu.edu, Caption Sync/Verbit, Qualtrics, DocuSign, WordPress and basic knowledge of html/CSS.
