Job Summary
Job Description
The Foster Care Intake Specialist is responsible for coordinating and processing all incoming foster care referrals, behavioral health and placements. This role ensures that each child's admissin is completed efficiently, documentation is gathered promptly, and all agency and state licensing requirments are met. Tha Intake Specialist serves a t the initial point of contact for referral partners, social workers, and foster parents-helping to ensure smooth transitions and accurate recordkeeping from intake through placement.
Receive and review all foster care referrals from DSS, placement coordinators, or
referring agencies.
Gather and verify essential documentation such as court orders, medical history,
consents, birth certificates, and social security cards.
Conduct initial intake interviews and complete required admission forms for each child
entering care.
Coordinate with foster parents to prepare for new placements and communicate
pertinent client details and needs.
Enter all client and placement information into the Electronic Health Record (EHR)
system accurately and promptly.
Collaborate with case managers, licensing workers, and program staff to ensure
compliance with state and agency intake procedures.
Maintain confidential and organized records in accordance with HIPAA and DSS
regulations.
Follow up with referring agencies for missing or incomplete documentation.
Track and report new placements, discharges, and transfers to support data and audit
requirements.
Assist with maintaining foster home rosters, matching children to available homes, and
updating case files.
Participate in team meetings and provide administrative support as needed to ensure
smooth program operations.
OPT Intake Requirements:
Qualifications
**Education:**
• High school diploma or GED required.
• Associate’s or Bachelor’s degree in Social Work, Human Services, Psychology, or related
field preferred.
Experience
• Minimum of 1–2 years in foster care, child welfare, or behavioral health settings.
• Experience with DSS referrals and EHR systems preferred.
Skills
Strong attention to detail and record accuracy.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Professional demeanor and ability to work collaboratively with diverse populations.
Knowledge of confidentiality, HIPAA, and foster care regulations.
Work Schedule
Full-time, Monday through Friday (8:00 a.m. – 5:00 p.m.)
Occasional evening or weekend availability may be required for emergency placements.
