Employee is under the general supervision from agency Chief Legal Counsel; relieves supervisors of routine administrative tasks and performs complex clerical and secretarial duties as secretary to the agency Chief Legal Counsel, staff attorneys, interns, liaisons, and paralegals in the Legal Department, and provides additional assistance as directed to the Employee Relations and Contracts Departments.

  • Relieves Chief Legal Counsel of routine administrative tasks by typing letters and other confidential documents; copies and collates materials; processes Chief Legal Counsel's mail, both incoming and outgoing; sets up and maintains filing system including electronic scanning of selected materials; schedules appointments and meetings; organizes and prepares Chief Legal Counsel for meetings and keeps office organized. Research online database and court system database.
  • Performs duties to maintain flow in the office, including ordering supplies, requesting work orders, answering the phones, greeting and assisting all who enter the Legal Department; collates and maintains logs and statistics for the department; maintains time cards; requests and keeps track of seminars; maintains various Share Point sites; takes meeting minutes for various meetings; completes requests for information and public records requests with assistance from Chief Legal Counsel; processes various monthly invoices; maintains system for storage of files.
  • In the absence of Administrative Secretary 2, provide back-up secretarial support to the Executive Director including answering phones, scheduling appointments, attending meetings and processing materials for meetings.
  • Performs other related duties as assigned.
  • Ability to calculate fractions, decimals and percentages and to read & write common vocabulary plus 8 mos. exp. as Secretary 1, or 4 mos. exp. as Secretary 2 (or 8 mos.exp. performing like duties); or completion of coursework to qualify for diploma in secretarial technology or Associate degree in secretarial science plus 4 mos. exp.; or equivalent; also 72 weeks training at high school level or 4 courses at college level in shorthand and/or speedwriting (or 2 yrs. exp.); or equivalent.

Certification or Licensure:

  • Must have a valid Ohio Driver's License with automobile insurance that complies withFranklin County Children Services agency policy. Travel can occasionally include out-state-travel which may require airline travel.
  • Associate or bachelor's Degree, Paralegal or Legal Aide Certification or equivalent; typing speed 50 wpm; proficient in Microsoft Word, Excel, Publisher, Adobe, PowerPoint, Access, Internet; excellent verbal and written communication skills; excellent organizational and customer service skills; Notary commission.

1st Shift - Monday - Friday, 8:00am-5:00pm
