About the group
We are a growing operation with four clinics producing approximately $7M/year in combined surgery and prosthetics. Each clinic has an on-site Denturist providing prosthetics; with surgical treatment coordinated to the Dentist. Two locations also operate as surgery centers.
We are building toward 5–7 locations in the Pacific Northwest over the next 3–5 years, and we’re hiring an Director of Operations to standardize, improve, and scale our platform.
The role
This role is responsible for leading and aligning operations across all locations, ensuring consistent execution, improving performance through better systems, and building a practical growth plan that expands both profitability and footprint.
The Director of Operations will focus on three core areas:
- Work with Office Managers and Providers to maintain practice operations.
- Improve current policies, procedures, and practices
- Develop and execute a growth plan (internal profit centers + external location growth)
Core responsibilities
1) Work with Office Managers and Providers to maintain practice operations.
Provide direct leadership, coaching, and accountability for Office Managers and their teams while overseeing all aspects of the practices—including troubleshooting, optimizing processes, conducting site walkthroughs, and covering location management as needed—to ensure production goals, collections, patient experience, quality, and staff morale are achieved through identifying key drivers and implementing repeatable evaluation methods. Protocols, Forms, and Releases: Develop, maintain, and implement company protocols, forms, and releases, following the specified procedural guidelines.
- Oversee H/R: Oversees human resources and personnel operations by supporting team culture and communication, managing recruiting and onboarding through platforms such as Indeed and Craigslist, supervising Office Manager and provider performance, coordinating scheduling and training, administering terminations and unemployment matters, reviewing wages and timekeeping, ensuring compliance with leave programs including Paid Leave Oregon, and maintaining accurate employee records and compliance documentation.
- Production: Oversees production performance by monitoring scheduling accuracy, treatment plan compliance, and team protocol adherence, conducting audits and reporting to track performance and collections, ensuring patient recall and follow-up processes are completed, coordinating with marketing based on scheduling needs, and improving office workflows and operational efficiency.
- Patient Relations: Oversees patient relations by monitoring online reviews and website inquiries, managing patient disputes and dismissal communications, ensuring timely follow-up and protocol compliance, and reviewing phone interactions to support service quality.
- Accounting & Inventory: Oversees accounting and inventory operations by managing vendor contracts and pricing, monitoring purchasing, supply ordering through vendors, supervising accounts receivable and payable processes, insurance billing and reconciliation through platforms like Availity, maintaining financing programs such as CareCredit, and ensuring accurate financial reporting, contract compliance, and inventory control across all locations.
- Equipment, Facility, Maintenance: Oversees facility and equipment operations by managing repair requests, maintenance schedules, procurement of equipment and furniture, maintaining inventory and warranty records, coordinating repairs and service contracts, and monitoring and prioritizing equipment needs to support practice operations.
- IT: Oversees IT systems and software functionality by managing annual CDT code updates, maintaining and auditing Open Dental updates and forms, ensuring system-wide implementation of changes, and supervising IT support ticket processes and account management protocols.
- Regulatory Compliance: Oversees multi-location regulatory compliance by managing HIPAA privacy and security programs, staff licensing and training, safety and infection control standards required by the Occupational Safety and Health Administration, chemical safety protocols, and compliance with healthcare and labor regulations from agencies including the Oregon Health Authority and Oregon Bureau of Labor & Industries.
2) Improve current policies, procedures, and practices
You will drive operational excellence by reviewing, refining, and standardizing policies, procedures, and practices to create a scalable framework that boosts revenue, improves patient satisfaction, and strengthens key performance metrics. This role ensures consistent, high-quality operations across all locations while building reproducible systems that support growth and enable the successful launch of new practices.
3) Develop a growth plan (internal and external)
You will partner with ownership to design and execute a growth plan that increases profitability per location and expands the number of locations over time.
Internal growth (new profit centers and/or improving existing ones)
- Identify and prioritize opportunities to increase revenue and margin per location (examples may include improved conversion, scheduling optimization, better follow-up systems, new service workflows, financing/collections process improvements, vendor/lab optimization)
- Develop and roll out scalable “playbooks” that raise performance across all sites
- Build a measurement system that connects operational initiatives to outcomes
External growth (expanding locations)
- Build the operational blueprint for expansion to 5-7 locations over 3–5 years
- Create repeatable launch/integration checklists for:
- staffing plans and hiring timelines
- training and onboarding
- vendor setup and operational readiness
- performance scorecards and early-stage stabilization
- Support market/site evaluation and due diligence from an operational standpoint
- Ensure new locations integrate into the operating system quickly and consistently
Compensation & benefits
Competitive base salary starting at $80k + significant performance bonus (or higher depending on experience) tied to clear operational outcomes, plus standard benefits. Compensation will reflect scope, experience, and travel expectations.
