Otterbein University is in search of a Philanthropic & Alumni Engagement Associate who is an integral member of the Development team and works closely with the Senior Major Gift Officer/Major Gift Officer team under the direction of the Executive Director for Development. This individual will actively coordinate engagement projects and may work closely with volunteers as well as faculty and staff from across the campus, with the goal of developing, overseeing, and maintaining work consistent with encouraging philanthropic support.
Key areas for the Philanthropic & Alumni Engagement Associate will be donor and volunteer management and stewardship, planned giving metrics and tracking support, and recognition societies support. The person will work closely with the Annual Giving and Donor Relations areas to provide coordination of service to donors and prospects while supporting prospect managers. The person will facilitate and manage multiple projects, while demonstrating the highest ethical and professional standards and confidentiality, working with individuals from diverse communities and cultures. The person will have oversight in managing the department's budgets and will provide full-time administrative and office support to the Development team.
This is a full-time, non-exempt position working 40 hours per week, 52 weeks per year.

JOB RESPONSIBILITIES
ESSENTIAL DUTIES AND RESPONSIBILITIES
Characteristic Duties
Fundraising Project Management and Data Analysis (50%)
- Develop and oversee from inception to completion projects consistent with engaging philanthropic support. Projects might include but are not limited to customized cultivation/stewardship (e.g. - segmenting donor pool data, individualized/tailored focus of top prospects), reporting and outreach, proposal development, and personalized tours of campus.
- Identify and manage groups of donors that need group-level cultivation (e.g. update contact based on interests revealed in qualification meetings, past giving or major or based on reunion cycle, age, professional industry, bequest donors).
- Draft a variety of written materials, including fundraising collateral, newsletters, website text and prospect briefing drafts and background information to be used for proposal drafts.
- Manage and report on prospect and donor data to inform decisions on regional coverage and prospect assignment.
- Create new reports and modify existing reports around dollars raised, visit activity, etc. Analyze data to inform giving strategy and make recommendations to the Executive Director to support productivity of prospect managers.
- Coordinate stewardship efforts by gathering pertinent information and aiding in compiling useful ad hoc stewardship pieces; in doing so, work with Marketing/Communications and Donor Relations/Stewardship colleagues as a key liaison and maintain an updated stewardship matrix from a donor centric/process view.
- Develop internal tracking systems related to past visits and customized on-campus visits in order to ensure timely and accurate follow up.
- Coordinate internal and external meetings with faculty and others. Make recommendations in discussions of fundraising needs/priorities in prospect strategy/review sessions, and work closely with gift officers with the development and implementation of fundraising plans for specific projects.
- Primary liaison to Research for prospects in current team portfolio. Provide additional research assistance and development support including conducting prospect research using Web-based sources, internal server and databases, and other sources when necessary.
- Manage data pulls from alumni/donor database (currently Millennium) and internal systems to facilitate quarterly reporting to VP.
Volunteer Management (15%)
- Serves as a primary contact for leadership giving/peer to peer or parent volunteers.
- Organize and facilitate quarterly check-in calls and semi-annual campus meetings with key volunteers, as needed.
- Create volunteer engagement opportunities that deepen the connection to Otterbein.
- In coordination with the Development team, identify, recruit, train, support, and deploy volunteers on activities that aid in the cultivation of major gifts.
Logistics, Stewardship and Event Management (25%)
- Serves as central coordinator for prospect manager travel to key regions. This includes partnering with the offices of the President, Provost, faculty members, and other senior leaders to monitor regional travel and make strategic recommendations for gift officer travel. Also coordinates logistics for all complex donor visits.
- Strategize, develop, execute, and attend personalized on-campus visits, which may include collaborations across campus.
- Work with events team to assist in management and execution of large targeted events. Determining programming, securing appropriate speakers, developing invite list, and coordinating all event logistics for smaller and mid-sized events.
- Manage follow up of targeted events, stewardship, and data tracking by collaborating with key offices, such as Donor Relations and Stewardship.
Other Duties (10%)
- Oversee logistics and facilitation of the development team office operation and budget.
- Proactively take the initiative to stay abreast of Otterbein strategic priorities, activities and enterprises.

- Mails flyers and other correspondence to potential donors, volunteers and guests in order to inform them of events and activities. Performs basic administrative duties such as filing, data entry, maintaining a filing system and more. Connects with constituents via phone calls, as needed; serves as phone point of contact.
- Other duties as necessary.
SUPERVISORY RESPONSIBILITIES: This position may supervise student employees and potentially temporary/contract employees. QUALIFICATIONS

Requirements:
Excellent oral and written communication skills.
Demonstrated experience managing complex budgets.
Ability to think and work independently in the absence of specific instructions.
Three years increasingly responsible work experience in administrative work or equivalent; at least two years in a senior administrative support role desirable.
Experience working with executives.
Advanced experience working with computer database systems, word processing (Microsoft Word) and spreadsheet (Microsoft Excel) software. Experience with mail merge preferred.
Must be customer service and team oriented and willing to bring a consistently positive spirit to the office
Willing and able on occasion to perform duties evenings and weekends.
EDUCATION and/or EXPERIENCE: Baccalaureate degree, with a minimum of two years of relevant experience in development preferred. Proficient writing skills are mandatory. Collaborative; high ethical standards; and comfortable using technology to support fundraising efforts.
LANGUAGE SKILLS: Excellent verbal and written communication skills required.
MATHEMATICAL SKILLS: Must be competent in general math.
TECHNICAL SKILLS: Knowledge of general office procedures. Must take pride in and be thorough in quality of work produced; must be able to use general office equipment including office PC, copier, telephone, scanner etc.
REASONING ABILITY : Must possess excellent attention to details; must be a team player and interact collegially with co-workers and other constituencies. Must possess strong organizational skills and be able to work under pressure and with tight deadlines. Must be able to work independently and must retain confidential information.
