Job Summary:

This position is responsible for completing administrative tasks to support the buy-out purchasing department. Purchasing Clerks expedite orders and escalate discrepancies as needed to ensure timely procurement of equipment. Purchasing Clerks must have strong communication skills to respond to questions and concerns within the buy-out purchasing department. Purchasing Clerks may also perform other tasks as needed.

Essential Duties and Responsibilities

  • Enter order and shipment information in SyteLine
  • Review shared inbox for acknowledgements, ship dates, promise dates, due dates, and tracking information
  • Review weekly spreadsheets to determine expediting/de-expediting needs, past dues, and/or unconfirmed PO’s (Purchase Orders)
  • Provide daily support by answering phone calls and emails
  • Communicate supplier lead times to and from vendors; update as needed
  • Identify order discrepancies and escalate to the Buyer and/or Account Services
  • Perform other tasks to support buy-out purchasing as needed

Experience and Education:

  • Minimum - High School or GED
  • Minimum - 1 - 2 years related experience and/or training

Position Requirements:

  • Proficient computer skills; ability to use MS Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Knowledge of inventory management and order entry systems, such as SyteLine
  • Basic mathematical skills
  • Communicates well with others; speaks and writes clearly; asks for and offers help when needed
  • Interpersonal; resolves questions and concerns in a professional manner; maintains confidentiality
  • Detail oriented; meets quality standards and demonstrates accuracy and thoroughness
  • Organized; completes work in a timely manner; able to prioritize and meet deadlines
  • Problem-solver; gathers and analyzes information skillfully and generates suggestions for improving work
