Job Summary
This role provides essential administrative support to the Superintendent’s Office and the Administrative Assistant to the Superintendent, with responsibilities that include communication management, document preparation, employee database maintenance, and customer service. The Administrative Assistant must be able to manage sensitive information with discretion and handle daily tasks with accuracy, efficiency, and professionalism.

Essential Duties and Responsibilities
  • Answer and direct incoming phone calls; greet and assist visitors in a courteous and professional manner
  • Sort, process, and distribute incoming mail, including district-wide mailings
  • Perform photocopying, scanning, filing, and data entry tasks
  • Transcribe meeting minutes accurately and timely
  • Maintain and update employee files, both paper and electronic
  • Enter and manage employee information across various district platforms and systems
  • Assist with home education notifications and maintain related databases
  • Provide accurate and timely responses to inquiries from staff, families, and the community
  • Prepare internal and external communications as needed
  • Support event logistics for new employee orientation, convocation, and staff recognition events
  • Complete FBI/BCI background checks for employees and volunteers
  • Maintain volunteer records and assist with related communications
  • Assist the Administrative Assistant to the Superintendent with projects and daily office tasks as assigned
  • Support preparation for Board meetings (e.g., photocopying, setting up meeting room)
  • Process requisitions, place orders, monitor purchase orders, and assist with supplies and award orders

Qualifications
  • High school diploma or equivalent required
  • Previous experience in an office environment; school or district office experience preferred
  • Strong organizational and time management skills
  • Proficient with Microsoft Office Suite and Google Workspace; ability to learn district-specific platforms
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and professionalism at all times
  • Ability to multitask, prioritize responsibilities, and work independently
  • Familiarity with educational software or platforms such as Public School Works or Final Forms is a plus
Physical Demands and Working Conditions
  • Work is performed in a standard office setting
  • Frequent sitting; occasional walking, standing, and light lifting (up to 25 lbs.)
  • Requires ability to use typical office equipment such as computers, copiers, phones, and filing systems
