Key Responsibilities:
Responsible for administering the day-to-day activities of the dental office, including patient and employee relations as well as assisting the Dentist with other tasks as assigned.
Administrative Management
- Oversee daily operations of the dental office to ensure efficiency and compliance with standards.
- Develop and implement office policies and procedures.
- Maintain accurate and confidential patient records, including insurance and billing information.
- Manage appointment scheduling systems to optimize provider productivity and minimize downtime
Staff Supervision
- Recruit, hire, onboard, and train front office and support staff.
- Conduct performance evaluations and implement improvement plans.
- Create staff schedules to ensure adequate coverage.
- Address staff concerns and mediate conflicts as needed.
- Ensure compliance with labor laws and dental practice regulations.
Patient Relations
- Ensure high levels of patient satisfaction and handle complaints or service issues promptly.
- Communicate treatment plans and financial policies to patients.
- Maintain a welcoming and professional front desk environment.
- Manage patient recall and follow-up systems.
Financial and Insurance Management
- Oversee billing, collections, and accounts receivable processes.
- Verify insurance eligibility and submit insurance claims.
- Reconcile daily deposits and manage petty cash or credit card transactions.
- Monitor office budget, expenses, and profitability.
Compliance and Safety
- Ensure compliance with OSHA, HIPAA, and infection control regulations.
- Maintain licenses, permits, and certifications for the practice and personnel.
- Organize ongoing safety and compliance training for staff.
Qualifications and Experience:
- High school diploma or equivalent; B.Sc. preferred.
- Dental experience preferred.
- Working knowledge of computers for MS Word, insurance claims processing and records management.
- Knowledge of Electronic Medical Management (EMR) – Dentrix, etc.
- Knowledge and/or experience in staff management.
