JOB PURPOSE :
The Onboarding Specialist supports recruitment by creating a positive onboarding experience and coordinating new-hire activities, including maintaining the new-hire tracker, assisting with orientation, and completing onboarding paperwork.
ESSENTIAL FUNCTIONS :
Serve as the primary onboarding contact for internal and external candidates and answer HR-related questions. Manage multiple onboarding tasks simultaneously. Coordinate payroll setup and IT access to ensure employee readiness before the first day. Maintain accurate onboarding records and communicate updates to hiring managers and HR partners. Build professional employee relationships, identify improvement opportunities, and recommend solutions using onboarding survey feedback. Track temporary employee recruiting with staffing agencies and assist with the onboarding process for interns, co-ops, and high school career programs. Track recruiting programs monthly, quarterly, and annually. Track referral, retention, relocation, and sign-on bonus programs. Handle reference checks and verify employment status, drug screens, health confirmations, and background checks. Support I-9 compliance audits and completion of internal forms, including PAF and State of Tennessee job forms. Monitor the applicant tracking system to support an efficient hiring process. Support HR education, training, and outreach efforts. Perform other duties as assigned.
LICENSES AND CERTIFICATIONS
A valid driver's license from state of residence is required.
EDUCATION
Bachelors or associate degree in Human Resources, Business Administration, or a related field preferred, or a high school diploma required.
EXPERIENCE
02 years with a bachelors degree, 6 years with an associate degree, or 8 years with a high school diploma. Basic knowledge of talent acquisition principles, practices, and procedures is required.
ADDITIONAL INFORMATION
Requires proficiency in Microsoft Office, strong organizational and written communication skills, and a customer-focused, action-oriented approach. Work is primarily office-based and sedentary, with brief standing or walking, exertion of up to 20 pounds, and dexterity to operate office equipment.
