Job Title:Executive AssistantDepartment:Engineering | Office of the Dean

Detailed Job Description:
Serves as an Executive Assistant within the College of Engineering (CoE), Deans Suite and provides administrative support to assigned senior staff member(s) by managing calendar and events, scheduling appointments, anticipating scheduling conflicts, and prioritizing commitments; initiates and processes national and international travel requests and reimbursements; coordinates complex meetings and events for faculty and staff to include organizing agenda, ordering food, securing adequate location, etc.; manages project activities, deliverable times, and provides follow-up as needed; interacts with key contacts and responds to inquires and/or requests; drafts and distributes communication and correspondences; creates flyers and other communication material to promote events; performs research on various topics and prepares presentations for events and/or meetings; conveys and manages highly sensitive information while maintaining the utmost confidentiality; provides administrative support to other senior staff members within the Dean's Suite as needed; collaborates with other administrative professionals to ensure all time-critical administrative needs of the Dean's Suite are met.

Required Qualifications

Required:

Bachelor's Level Degree or equivalent educ/exp, work-related experience supporting executive level leadership; experience in writing, editing, publication production and disseminating of executive-level correspondence; excellent organization skills; ability to handle confidential information appropriately; excellent written and verbal communication skills; ability to deliver excellent customer service; ability to work independently and as a team; ability to demonstrate poise, professionalism, good judgment, confidence and positive attitude; ability to work with faculty, staff, students, and external organizations of diverse academic, socioeconomic, cultural, and ethnic backgrounds; ability to manage social media platforms; ability to manage multiple assignments with competing deadlines; ability to play close attention to detail; proficient in the use of key office software programs, including Microsoft Word, Excel, and PowerPoint;.

Desired: 2 years of relevant experience preferred. Knowledge of university and department travel and procurement policies, rules and regulations and experience in education setting/academic environment; ability to speak a second language.

Hiring Range: $24.76 - $32.33

The actual salary paid to an individual will vary based on multiple factors, including, but not limited to, education, years of experience, internal equity, etc.
