Position Summary:
Under the
direction of the Director of Court Services, the Court Services Clerk is
responsible for providing comprehensive administrative and case management
support to the Court. This position ensures accurate processing, tracking,
storage, and retention of exhibits, transcripts, and audio records in
compliance with Court policies and applicable rules. This position maintains
strict chain of custody procedures and serves as a point of contact for
internal staff and the public regarding transcript and exhibit inquiries. This is a part time position 20 hours per week .
Essential Functions and
Responsibilities:
- Create cost
estimates for court reporters and court stenographers.
- Produce audio of hearings upon
request and approval from the Public Information Coordinator.
- Log FTR exhibits into databases
and files in appropriate storage room.
- Check eFlex queue for Court of
Appeals transcript requests.
- File completed transcripts with
exhibits via eFile. Record last known addresses for all FTR, court
reporter and court stenographer exhibits into Case Retention database.
- File physical exhibits in
storage room; Retrieve exhibits from storage upon request of judge or
magistrate.
- Scan exhibits for eFiling and
prepares all necessary documents for Clerks Office
- Maintain exhibit chain of
custody
- Ensure proper labeling and
retention compliance
- Prepare and file per diems.
Confirm judges dockets for court.
- Update scheduling in Record
Keeper daily
- Log continued cases and monitor
transcript deadlines.
- Track pending cost estimates
and follow up as needed
- Answers incoming telephone
calls and route appropriately,
- Serves as a back-up for areas
under Court Services as needed.
- Performs other duties as
assigned.
Minimum Requirements:
- High school diploma or
equivalent required.
- Minimum of two years clerical,
court, or records management experience preferred.
- Experience with electronic
filing systems and database management preferred.
- Strong organizational skills,
time management, attention to detail.
- Excellent oral and written
communication skills.
