Join Our Team as an Expeditor / Project Admin

Are you looking for an important role that combines administrative support with the opportunity to work in an exciting commercial construction environment? HGR Construction Inc is seeking motivated individuals to join our team in our Charlotte NC office. As an Expeditor/Project Administrator, you will play a crucial role on assigned project teams. If you are familiar with construction terminology, have experience with project documents and commercial construction, and thrive in a collaborative environment, we want to hear from you!

1. Project Documentation & Records 

  • Maintain and organize project files, contracts, permits, drawings, and correspondence.
  • Track document revisions and ensure the latest versions are distributed to relevant parties.
  • Manage submittals, RFIs (Requests for Information), and change orders.

2. Administrative Support

  • Provide administrative support to project managers and site teams.
  • Schedule meetings, prepare agendas, and record meeting minutes.
  • Assist with project reporting and status updates.
  • Printing plans
  • Communication with subcontractors and clients for contract documents (contracts, change orders, RFIs, submittals, updated schedules)
  • Create, manage, and distribute subcontract documents
  • Create and maintain a current drawing log and drawings
  • Permitting, including applications and tracking of permit status 

3. Communication & Coordination

  • Coordinate communication between project managers, subcontractors, suppliers, and clients.
  • Ensure timely distribution of project information and documentation.
  • Follow up on outstanding tasks and documentation requests.

4. Financial & Procurement Support

  • Assist with expense tracking (request for change orders).
  • Support budget tracking and cost reporting.
  • Coordinate with accounting for billing and payment documentation.

Required Skills:

  • Proficiency in Microsoft Office (Excel, Word, Outlook, SharePoint).
  • Familiarity with Autodesk Build (ACC) is a plus.
  • Proficiency in Adobe and/or Bluebeam
  • Strong written and verbal communication skills.
  • Attention to detail and ability to manage multiple priorities.
  • Basic understanding of construction processes, documents, and terminology.

Salary and Benefits:

  • Minimum Salary: $49,920.00
  • Maximum Salary: $72,800.00
