Summary
Operating under the direction of the Chief Operations Officer, this position is responsible for the essential functions and daily operations of the transportation department, ensuring compliance with state and federal regulations, maintaining accurate records, and coordinating travel and vehicle operations. This role serves as a key point of contact for staff, students, parents, and community partners, while also overseeing financial processes, maintenance schedules, and reporting requirements. By managing both operational details and communication, this position helps ensure safe, reliable, and efficient transportation services across the District.

Job Responsibility Description
1. Transportation Operations and Compliance
Manage daily operations of the Transportation Department.
Monitor, update, and maintain District Commercial Driver's License (CDL) records in compliance with District, state, and federal regulations.
Schedule and track Department of Transportation (DOT) testing and results.
Run queries in drug and alcohol clearinghouses for CDL holders.
Pull annual Motor Vehicle reports for all approved District drivers.
Oversee the District's Small Vehicle Certification Program.
2. Communication and Support
Serve as the primary point of contact for staff, students, parents, and outside providers.
Assist drivers, students, and families in understanding transportation policies and resolving concerns.
Act as a technical resource for District staff, community members, and partner agencies.
Facilitate communication between the Chief Operations Officer and the third-party transportation provider.
3. District Travel Coordination
Arrange all approved District travel, including buses, charters, fleet vehicles, rentals, or leases.
Coordinate with Athletic Directors and school staff to prevent scheduling conflicts and ensure accurate transportation for activities.
Work with staff, parents, and drivers to provide special accommodations when needed.
4. Financial and Procurement Oversight
Assist employees with transportation reimbursement reports to ensure accurate processing and IRS compliance.
Oversee the department's Procurement Card (P-Card) expenditures and reconciling "Plastic is Good" (PIG) reports.
Coordinate vehicle and equipment purchases with administration.
Process all transportation-related financial expenditures in accordance with District policies.
5. Vehicle Maintenance and Supervision
Monitor and maintain the vehicle maintenance schedule, ensuring timely inspections, service, and repairs.
Supervise mechanics responsible for vehicles and small engines.
Supervise the administrative assistant responsible for daily operations and compliance functions.
6. CDE 40 Report Data Collection
Collect required data from the District's third-party provider for the Colorado Department of Education (CDE) 40 report
Submit reports to the Finance Department to support analysis, reimbursement, and budgeting.
7. Other Duties
Additional tasks, duties, and responsibilities may be assigned as needed/requested.
Education and Experience
Acceptable demonstration of acceptable education and/or experience will be at the sole discretion of the District.
High School diploma or equivalent required
Associates Degree in Business or related field preferred
Two years' experience in office or administrative assistant role required
School District experience preferred
Operating knowledge of procurement card procedures, employee database, student database, and transportation systems within 90 days of hire
Licenses, Registrations or Certifications
Criminal background check required for hire
Valid Colorado driver's license or valid Colorado identification required
Knowledge, Skills and Abilities
Knowledge of transportation operations, scheduling, fleet maintenance, and compliance requirements
Understanding of DOT, CDE, and federal safety standards for school transportation
Ability to supervise and coordinate the work of administrative and mechanical staff
Ability to be adaptable and flexible with collaborative critical thinking and problem-solving capabilities
Clear and effective written and verbal communication skills
Strong customer service skills, with the ability to provide support in a professional and approachable manner
Commitment to handling sensitive and confidential information with the highest ethical standards
