Northstar Restaurant Group (Northstar Cafe, Brassica, and Third & Hollywood) is hiring an Executive Assistant to support our CEO, President, and CFO.

This is a high-trust role responsible for keeping our leadership team organized, prepared, and using their time effectively. Responsibilities span executive support, real estate and legal coordination, board preparation, personal logistics, and hands-on problem solving. You will manage calendars and travel, track key initiatives and deadlines, organize critical documents, and handle sensitive business, financial, and personal information with the highest level of discretion and sound judgment.

Core Responsibilities:

  • Manage calendars; coordinating scheduling, confirmations, and follow-ups for business meetings, real estate matters, board engagements, and personal commitments

  • Anticipate needs, proactively solve problems of all sizes, and take ownership of both strategic and everyday tasks that save time for the executive team

  • Coordinate personal and professional travel logistics, including booking flights, accommodations, ground transportation, and detailed itineraries

  • Provide email and correspondence support by drafting responses, prioritizing messages, and flagging urgent or high-impact items

  • Track professional, personal, and family commitments, deadlines, and action items to ensure timely follow-through and accountability

  • Plan and execute logistics for board meetings, training offsites, and internal events, including materials preparation, vendor coordination, and day-of support

  • Assist in preparing for meetings; drafting slides, meeting notes, itineraries, and documents

  • Organize and evaluate real estate opportunities and analyze letters of intent, including lease language review

  • Prepare and manage contracts, legal notices, and related administration for construction and development projects

  • Oversee regulatory compliance, including liquor licenses, business registrations, and insurance applications

  • Provide support for sensitive family office matters, including tax document organization, and correspondence with external advisors (tax accountants, bankers, investment partners)

  • Provide support for select personal logistics, including household coordination, bill management, document organization, and childrens schedules, activity planning, and travel

  • Coordinate and support company social events and special events, including logistics, reservations, vendor management, communications, setup and on-site hosting

  • Digitize, organize, and maintain records for efficient, searchable filing systems

  • Review, code, and reconcile executive credit card expenses

  • Support office operations and leadership culture, modeling professionalism while contributing to day-to-day workplace organization and upkeep

  • This role is primarily weekday-based, with occasional evening and weekend support when needed

Qualifications & Skills:

  • Experience in executive support, legal, operations, or other high-performance environments, or a demonstrated track record of excellence, initiative, and follow-through in school and early career roles

  • Strong proficiency in Google Workspace

  • Ability to manage highly sensitive business, legal, financial, and personal information with the utmost discretion and confidentiality

  • Exceptional organizational and project management skills

  • Exercises sound judgment, critical thinking, and common sense with minimal direction.

  • Operates as a trusted partner, anticipating needs and understanding context to support decision-making effectively

  • Proactively protects time through strong prioritization and organization

  • Skilled in detailed note-taking and documentation without reliance on AI tools

  • Strong commitment to continuous learning and professional growth

  • Receptive to coaching and feedback, with a growth-oriented mindset

  • Notary Public or willingness to obtain certification

This is a salaried position. Compensation will be commensurate with qualifications and experience and will provide significant growth potential.
