Orchid Insurance , an Arrowhead Intermediaries company, is seeking a Project Coordinator to join our growing team in Tampa or Vero Beach, FL.
The Project Coordinator plays a critical role in supporting project managers and cross-functional teams to ensure successful project execution. This position is responsible for capturing meeting notes, tracking deliverables, managing timelines, and facilitating communication among stakeholders. The coordinator assists with risk identification, oversees UAT readiness and scheduling, manages Jira tickets for bugs and enhancements, and ensures timely resolution of issues. Additionally, the role involves creating clear and visually engaging presentations for leadership, maintaining project documentation, and synthesizing information to identify patterns and potential impacts. The Project Coordinator is a proactive problem-solver who thrives in a fast-paced environment and ensures alignment across teams and workstreams.
How You Will Contribute:
Attend project meetings to capture detailed notes and document action items.
Track project deliverables, timelines, and recoveries; follow up on outstanding tasks.
Assist in identifying risks, issues, and dependencies for escalation.
Manage Jira tickets for bugs and improvements; monitor readiness for UAT testing.
Schedule and coordinate UAT for large projects; gather results and ensure defects are logged and addressed.
Create visually engaging presentations and summaries for leadership.
Maintain project documentation, including charters, status reports, and risk logs.
Facilitate cross-functional alignment across teams and workstreams.
Synthesize information from multiple sources to identify patterns and potential impacts.
Communicate effectively with internal and external stakeholders.
Apply critical thinking to review policies and processes for gaps and root-cause analysis.
Research issues and support day-to-day project operations.
Prioritize tasks as project demands shift and contribute to scheduling, coordination, data analysis, and presentation development.
Reflect a positive attitude toward others.
Skills & Experience to Be Successful:
Requirements:
High School diploma or equivalent.
Minimum 2 plus years of experience within the organization or in the P&C insurance industry, preferably with exposure to MGA operations.
General knowledge of standard insurance concepts, underwriting practices, and procedures to effectively understand project discussions.
Ability to work independently or in a team environment to achieve common goals.
Knowledge of data processing capabilities and procedures.
Excellent organizational and communication skills (both written and verbal) with the ability to manage shifting priorities.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and collaboration tools.
Strong analytical skills and ability to synthesize complex information into clear summaries.
Aptitude to learn multiple computer systems.
Aptitude to learn a large volume of insurance underwriting concepts.
Optional Skills:
Bachelor's degree in business, Project Management, Information Technology, or related field (or equivalent experience)
1+ years of experience in project coordination or related role.
Experience with Jira and UAT coordination.
Familiarity with project management methodologies and tools.
