Talent Acquisition Specialist
Department: Human Resources

Position Summary
The Talent Acquisition Specialist is responsible for executing the firm’s full-cycle recruiting process for attorneys and professional staff across multiple offices. This role is highly transactional and execution-focused, with accountability for sourcing, candidate coordination, offer administration, and onboarding coordination. Reporting to the Director of Human Resources, the Talent Acquisition Specialist serves as the primary point of contact for recruiting activity and ensures that hiring processes are carried out consistently, professionally, and in alignment with firm policies. The role exercises sound judgment within established guidelines but does not set recruiting strategy, workforce plans, or firm-wide hiring policies.
Key Responsibilities
Sourcing & Candidate Coordination
- Conduct sourcing activities for attorney and professional staff positions, including direct outreach, job postings, and coordination with external recruiters.
- Screen candidates to assess basic qualifications and alignment with role requirements.
- Coordinate candidate communications and scheduling throughout the recruiting process.
- Maintain accurate and timely recruiting records in the firm’s applicant tracking system.
Recruiting Process Execution
- Manage recruiting logistics from requisition approval through offer acceptance.
- Partner with hiring managers to coordinate interviews and selection steps.
- Ensure consistent, professional candidate experience across offices.
- Track recruiting activity and provide status updates to the Director of Human Resources as requested.
Offers, Contracts & Negotiation Support
- Prepare offer letters, employment agreements, and related hiring documentation in accordance with firm templates and guidelines.
- Coordinate compensation discussions and offer negotiations within established parameters, escalating exceptions or nonstandard requests to the Director of Human Resources.
- Support compliance with firm policies and applicable employment laws throughout the hiring process.
External Recruiter & Vendor Coordination
- Serve as the day-to-day point of contact for approved external recruiters and search firms.
- Coordinate recruiter engagement, candidate submissions, and interview logistics.
- Track recruiter usage, fees, and performance for review by the Director of Human Resources.
- Ensure adherence to approved contracts and recruiting practices.
Onboarding Coordination
- Coordinate onboarding logistics in partnership with HR operations, IT, office management, and hiring managers.
- Ensure timely completion of pre-employment requirements and documentation.
- Serve as a primary point of contact for new hires prior to their start date.
- Support a smooth transition from candidate to employee through clear communication and follow-through.
- Conduct new hire orientations for required documents, benefits and firm processes and procedures.
Process Adherence & Continuous Improvement
- Follow established recruiting procedures and workflows.
- Identify operational issues or inefficiencies and raise recommendations to the Director of Human Resources.
- Support updates to recruiting templates, documentation, and systems as directed.
Qualifications & Experience
- Prior experience supporting or executing full-cycle recruiting in a professional services or similarly structured environment.
- Experience coordinating offers, contracts, or compensation discussions preferred.
- Familiarity with applicant tracking systems and recruiting tools.
- Experience working with external recruiters or staffing vendors a plus.
