Job Summary

The Merchandise Planning Coordinator II plays a critical role in supporting eyewear distribution center operations by managing the end-to-end merchandise ordering and inventory coordination process. This position ensures accurate and timely procurement of frames, maintains optimal inventory levels, and supports seamless delivery to offices through effective system management and cross-functional collaboration.

The ideal candidate is highly detail-oriented, organized, and analytical, with a strong ability to manage multiple priorities in a fast-paced environment. Proficiency in SAP or similar inventory and ERP systems is essential, along with strong communication skills and a commitment to operational excellence and customer service

Duties and Responsibilities

  • Process frame orders accurately and efficiently using SAP.
  • Execute daily Material Requirements Planning (MRP) to support demand and replenishment needs.
  • Create and maintain system orders for new office openings, frame additions, and assortment changes.
  • Ensure order data integrity, accuracy, and timely system updates.
  • Create, submit, and track purchase orders (POs) with external vendors.
  • Maintain accurate PO documentation and records to support auditing and reporting needs.
  • Communicate proactively with vendors regarding order status, shipment timelines, and potential delays.
  • Expedite POs as needed to support business priorities and inventory requirements. Maintain and update shipping schedules for new and replenishment frame deliveries to offices.

  • Partner with internal distribution center, logistics, and merchandising teams to ensure timely and accurate deliveries.
  • Create and manage return orders for frames being sent back from offices, ensuring proper system documentation and follow-through.
  • Maintain a centralized PO tracking log for all new frame orders to ensure visibility, accountability, and timely follow-up.
  • Support inventory accuracy by monitoring order status, receipts, and discrepancies.
  • Assist with inventory reporting, data validation, and issue resolution as needed.
  • Manage the department email inbox, ensuring timely responses, prioritization, and appropriate follow-up on requests and inquiries.
  • Serve as a point of contact for internal partners regarding order status, timelines, and basic inventory inquiries.
  • Document processes and support continuous improvement efforts within merchandise planning operations.
  • Adhere to all safety policies and procedures while supporting a culture of quality, accountability, and customer service.
  • Perform additional duties as assigned to support operational needs and organizational objectives.

Education, Licensure & Certification Requirements

HS Diploma or GED

4 years/bachelor's degree- preferred

Experience Requirements

  • 0-2 years' experience in retail, merchandising planning, or buying support roles
  • Prior experience developing and executing purchase orders with outside vendors preferred
  • Prior experience in inventory coordination or distribution center operations is preferred

Location/Work Environment:

For on-site team members, work takes place in a normal office/clinical environment. Travel to other locations may be necessary to fulfill the essential duties and responsibilities of the job. Thus, those needing to travel for work must have access to dependable transportation, and their driving record must meet company liability carrier standards.

For remote team members, HIPAA compliant home office environment. Ability to work in a remote environment while performing required duties and remaining patient focused. Able to work varying shifts including early mornings/evenings to attend meetings and cross training or support other initiatives.
