Job Title: Assistant General Manager   - Commercial Real Estate                               

 

POSITION SUMMARY

 

The Assistant General Manager is primarily a support person to the General Manager.

 

ESSENTIAL JOB FUNCTIONS

The essential functions include, but are not limited to the following:

 

 

1. Act as main contact when General Manager is unavailable.

 

2. Assist in the management of maintenance and management of the organization’s property/s.  Direct, and organize operations and functionalities of the facilities and buildings,along with coordinating with outside contractors/vendors/architects/GCs for tenant improvement/tenants/tenant vendor/Metro/emergency services and supervising subordinate support staff, 24/7 operation. 

 

3. Schedule vendors and work proposals, including emergency work. Must be flexible with the ability to work well with ever changing priorities or situations. Must be able to return to the property in the event of an emergency

 

4. Maintain monthly reports as necessary, to include Permits, service reports and work orders. Maintain spreadsheet reflecting work order/PPM for each property

 

5. Able to check fire panel, elevators, cameras and IPad for operation. Key Control.

 

6. Must understand all life health and safety procedures and advise management on any issues

 

7. Keep up to date on information and technology affecting functional area(s) to increase innovation and ensure compliance

 

8. Contract with all outside contractors and coordinate their activities while on the facilities

 

9. Maintain on-call schedule. Understand work order system and planned preventive maintenance.

 

10. Create and provide monthly, weekly, annual reports as necessary, to include monthly utility, meter readings, BTUs  etc.

 

11. Assists General Manager in the day-to-day operation of the office by: interfacing with tenants and customers regarding problems or questions not requiring manager’s attention; assisting in the preparation of budget, and other reports; interfacing with contract personnel, etc..

 

12. Assist with preparation, data input and the input of annual budgets and assisting the General Manager in preparation of reports required by ownership. Re bill monthly invoices as needed.

 

13. Performs administrative duties including coding invoices, answering and screening telephone calls, typing and proofreading materials, preparing routine correspondence.

 

14. Performs other related duties, as assigned. *

 

QUALIFICATIONS

 

Knowledge/Education Required:       Minimum 3-5 years /Maintenance /Property Management

Yardi /Word/Excel

                                                            Some IT /Camera recording

                                                            Computer and Cloud experience

                                                            Valid driving License

Preferred:                                            Experience: Retail Property Management

                                                            Some knowledge of blue prints/plans
