Executive Administrator (Healthcare Practice)

Multi-Location Pediatric Practice

We are seeking an experienced healthcare leader to serve as Executive Administrator for a well-established, multi-location pediatric practice. This role provides overall leadership and accountability for financial performance, operations, strategy, and organizational execution across multiple clinical sites. The ideal candidate is a hands-on healthcare administrator with strong financial acumen, operational discipline, and the ability to translate data into action while supporting physicians, clinical leaders, and staff.

Key Responsibilities

Executive & Strategic Leadership

  • Provide overall leadership for practice operations, financial performance, and long-term strategic planning 
  • Partner closely with physician leadership/ownership on forecasting, growth planning, and risk management
  • Lead organizational change initiatives and ensure operational stability during transitions

Financial Management & Oversight 

  • Oversee all financial operations including budgeting, forecasting, cash flow, and financial reporting
  • Analyze P&L performance by location and provider, identify trends and improvement opportunities
  • Manage revenue cycle performance in collaboration with billing teams and vendors
  • Support compensation modeling, provider productivity analysis, and incentive structures

 Operational & Practice Management

  • Direct day-to-day operations across multiple clinical locations
  • Ensure efficient scheduling, access to care, staffing alignment, and capacity utilization
  • Establish operational KPI's and dashboards to drive accountability and performance improvement
  • Oversee vendor relationships, contracts, and cost-containment initiatives

People, Process & Compliance

  • Lead management team including operations, nursing leadership, and administrative staff
  • Support HR functions including staffing models, performance expectations, and workflow design
  • Ensure compliance with healthcare regulations, payer requirements, and internal policies
  • Develop SOP's, reporting calendars, and governance structures to support sustainable operations 

Qualifications

  • Bachelor's degree required, advanced degree in healthcare administration, finance, or business preferred
  • 5-7+ years of progressive leadership experience in healthcare practice management or equivalent work experience
  • Strong financial literacy with demonstrated experience in budgeting, forecasting, and reporting
  • Experience managing multi-site medical practices strongly preferred
  • Proven ability to work effectively with physicians, clinical leaders, and cross-functional teams
  • Highly analytical, organized, and execution-focused
