To support our growing practice, we are seeking a Remote Dental Customer Service Representative who is empathetic, detail-oriented, and experienced in dental patient communication.
Role OverviewThe Remote Dental Customer Service Representative serves as a primary point of contact for current and prospective patients. This role is ideal for someone who enjoys helping others, thrives in a fast-paced healthcare environment, and understands the importance of clear communication and follow-through.
Working remotely, you will manage inbound and outbound patient communications, schedule appointments, explain treatment processes, support insurance and financial conversations, and ensure patients feel informed and cared for throughout their experience. Because Sculpt Center specializes in implants and periodontics, many patients may be nervous, unfamiliar with specialty care, or navigating complex treatment decisionsmaking empathy and clarity especially important.
This role requires professionalism, reliability, and comfort working with dental software and patient management systems. You will collaborate closely with in-office clinical and administrative teams to ensure seamless coordination.
Key Responsibilities 1. Patient Communication & Support- Answer inbound phone calls, emails, texts, and online inquiries from new and existing patients.
- Respond to patient questions regarding services, appointment availability, treatment processes, and next steps.
- Provide calm, empathetic support to patients who may be anxious or experiencing discomfort.
- Maintain a welcoming, professional tone that reflects Sculpt Centers brand and standards of care.
- Schedule new patient consultations, follow-up visits, and surgical appointments.
- Coordinate schedules between providers, hygienists, and clinical staff.
- Confirm appointments and manage reschedules or cancellations.
- Ensure accurate patient information is entered into practice management systems.
- Guide new patients through the intake process, including forms, records requests, and pre-appointment instructions.
- Collect and verify patient information accurately.
- Set expectations around consultation flow, imaging, and potential treatment pathways.
- Ensure new patients feel prepared and confident before their first visit.
- Explain treatment plans at a high level (without providing clinical advice).
- Discuss estimated costs, payment options, and financing programs.
- Coordinate insurance verification and benefit inquiries when applicable.
- Answer patient questions regarding billing and payments, escalating complex issues as needed.
- Communicate effectively with in-office teams regarding patient needs, notes, and scheduling considerations.
- Document all patient interactions thoroughly and accurately.
- Flag urgent or sensitive issues to appropriate team members.
- Maintain compliance with HIPAA and patient privacy standards at all times.
- Ensure every interaction aligns with Sculpt Centers commitment to excellence and compassion.
- Follow established workflows, scripts, and service standards.
- Identify opportunities to improve communication processes and patient satisfaction.
- Maintain professionalism and consistency across all communication channels.

Required or Strongly Preferred- Prior experience in a dental office, medical practice, or healthcare customer service role.
- Experience with dental scheduling, patient communication, or front-office operations.
- Strong verbal and written communication skills.
- Ability to work independently in a remote environment.
- Comfort using dental practice management software (e.g., Dentrix, Open Dental, Eaglesoft) or similar systems.
- Reliable internet connection and quiet workspace.
- Experience in periodontics, oral surgery, or dental implants.
- Familiarity with dental insurance terminology and verification processes.
- Experience handling high-volume calls or patient inquiries.
- Bilingual skills (Spanish preferred but not required).
- Empathetic, patient, and calm under pressure.
- Highly organized with strong attention to detail.
- Confident communicator who can explain processes clearly.
- Professional, dependable, and punctual.
- Comfortable navigating sensitive conversations related to health and finances.
- Team-oriented while able to work independently.
This is a fully remote position , with work performed from a home office. The role requires availability during designated business hours aligned with the practices time zone. Some flexibility may be required to support patient demand and scheduling needs.
You will receive training on Sculpt Centers systems, workflows, and communication standards and will be supported by an experienced administrative and clinical team.
