The Outpatient Behavioral Health Patient Registration & Facilities Clinic Supervisor is an on-site operational leadership position responsible for front-end patient access operations, administrative staff supervision, and day-to-day facility coordination in a high-volume outpatient behavioral health clinic.

The role supports traditional outpatient services, Partial Hospitalization (PHP), Intensive Outpatient Programs (IOP), and addiction services. While non-clinical, the position requires direct interaction with psychiatric patients and families, including individuals experiencing distress or crisis, and the ability to manage complaints, service recovery, and support de-escalation in collaboration with clinical staff.

The Supervisor serves as the primary on-site administrative and facilities leader, with direct management responsibility for a Senior Patient Registration Coordinator, multiple Patient Registration Coordinators, and multiple Medical Assistants. The role requires consistent floor presence to partner closely with the Senior PRC and works collaboratively with the Nurse Navigator (RN), Medical Director, Clinical Director, and Director of Operations (DOO) to align administrative workflows, provider schedules, MA coverage, and patient flow.

Core responsibilities include supervising and supporting a stable administrative team with clear accountability; managing scheduling, timekeeping, hiring, onboarding, training, performance management, and corrective action; and owning provider scheduling templates to ensure efficient access and clinic flow. The Supervisor also serves as the primary point of contact for facility and environment-of-care needs, coordinating vendors, supplies, and facilities partners to ensure clinic readiness. Administrative staff assist with facility needs as appropriate under the Supervisor’s direction.

This is a fast-paced, high-stress, requiring sound judgment, strong prioritization, and the ability to manage people, workflows, reporting/data, and physical space simultaneously.

 

Key Responsibilities

  • Supervise Senior PRC, PRCs, and MAs across registration, scheduling, and call center operations
  • Manage staffing, schedules, timekeeping, hiring, onboarding, training, performance management, and discipline
  • Partner with the Senior PRC, Nurse Navigator (RN), Clinical Director, and DOO on daily workflow coordination
  • Oversee provider schedules and templates to support patient access and clinic flow
  • Address patient concerns, complaints, and service recovery needs professionally
  • Coordinate facility needs, supply ordering, work orders, vendors, and environment-of-care readiness
  • Ensure compliance with hospital standards, regulatory requirements, and customer service expectations
  • Utilize EHRs, Microsoft Excel, and basic operational reporting to support clinic performance
  • Stabilize and improve existing workflows through incremental, sustainable improvements
  • Resolve day-to-day operational issues independently while appropriately escalating clinical, safety, compliance, or high-risk concerns
  • Manage frequent interruptions and competing priorities with consistent follow-through

Required Qualifications

  • High school diploma or equivalent
  • 2–4 years of healthcare experience in ambulatory or clinic settings
  • Supervisory experience with front-line staff
  • Hands-on facility awareness, including repairs, vendor coordination, bids, or site-level operational needs
  • Proficiency with Microsoft Office, scheduling and verification systems, and EHRs

Ability to work fully on-site in a highly visible clinic environment

 

Preferred Qualifications

  • Associate or bachelor’s degree in social work, psychology, healthcare administration, or a related field
  • Business, operations, customer service, or healthcare administration certificate
  • Medical Assistant (MA) certification
  • Familiarity with outpatient behavioral health and addiction services
  • Experience with hiring, training, performance management, and corrective action
  • Familiarity with front-end patient registration and revenue cycle processes
