Job Description

Position Summary

The Contract & Risk Manager is responsible for overseeing the organization's contract management framework, business insurance and broker relationship, and key enterprise risk initiatives. This role serves as the primary owner of business insurance coordination, risk assessment related to coverage and liability exposure, and contract system administration. The position also supports veterinarian credentialing and plays a key role in drafting and reviewing agreements to ensure compliance and risk mitigation.

This role partners closely with Operations, HR, Finance, and external Legal counsel to protect the organization while enabling scalable growth.

Qualifications

Key Responsibilities

Insurance & Broker Management

  • Serve as the primary relationship manager with the company's business insurance broker
  • Manage all aspects of business insurance programs, including renewals, coverage reviews, claims coordination, and documentation for the Company's workers' compensation, professional liability, and general liability policies
  • Assess organizational risk exposure and ensure insurance coverage aligns with operational, employment, and regulatory risks
  • Review policy terms, limits, exclusions, and endorsements; identify gaps and recommend improvements
  • Support claims reporting, tracking, and documentation in partnership with internal teams and the broker
  • Partner with Chief People Officer and Chief Financial Officer on renewal strategy for policies managed by other brokers

 

Employment Agreement Administration & Compensation Tracking

  • Track recurring and contract-driven compensation commitments tied to Employment Agreements (EAs), including sign-on bonuses, retention bonuses, and other milestone-based payments
  • Maintain accurate schedules, supporting documentation, and internal tracking to ensure payments are processed on time
  • Partner with HR and Payroll to provide timely notifications and confirmations of upcoming payment obligations
  • Support audit-ready documentation and reporting related to agreement-based payments and commitments

 

Risk Assessment & Mitigation

  • Identify and evaluate enterprise risk, particularly as it relates to insurance, contracts, employment, and operational liability
  • Partner with leadership to recommend risk mitigation strategies and internal controls
  • Support audits, compliance reviews, and internal reporting related to risk exposure
  • Ensure contracts and employment agreements align with risk tolerance and insurance requirements

 

Contract Management & System Administration

  • Serve as the primary administrator for the organization's contract management system (CLM)
  • Own contract workflows, templates, access controls, reporting, and lifecycle tracking within the system
  • Manage the full contract lifecycle, including drafting, review, execution, renewal tracking, and termination
  • Review and draft employment agreements in partnership with HR and legal counsel
  • Ensure contracts are properly approved, stored, and auditable
  • Develop and maintain standardized contract templates and clause guidance
  • Manage the Company's CMS vendor relationship, ensuring customer service/support are meeting expectations

 

Credentialing & License Compliance (DVMs)

  • Maintain oversight of annual license verification for Veterinarians to ensure active and compliant licensure status
  • Perform routine checks and documentation tracking to confirm licenses remain current and in good standing
  • Escalate license lapses or compliance concerns promptly to internal stakeholders for resolution
  • Send reminders and notifications to practices when a Veterinarian is behind on continuing education (CE) requirements and/or approaching license renewal deadlines
  • Maintain accurate, audit-ready records related to licensure monitoring and follow-up actions

 

Qualifications Required

  • Bachelor's degree or equivalent experience in business, legal operations, risk management, compliance, or a related field
  • 5+ years of experience in contract management, risk management, insurance administration, or legal operations
  • Experience working directly with insurance brokers and managing commercial insurance programs
  • Strong understanding of employment agreements and common contract terms
  • High attention to detail with strong organizational and documentation skills
  • Ability to manage competing priorities and sensitive information with discretion

 

 

Preferred

  • Experience in healthcare, veterinary medicine, or other regulated, multi-site organizations
  • Experience administering a contract lifecycle management (CLM) system
  • Familiarity with professional credentialing processes
  • Legal or paralegal background or risk/contract certification (e.g., CPCM, NCMA, CRM) is a plus
