Merge Architectural Group is seeking a highly organized, proactive Administrative and Operations Support Specialist to help manage the day-to-day functions of our growing business. The ideal candidate is detail-oriented, able to multitask, and comfortable working in a fast-paced environment within the construction, architecture, or engineering fields.

Duties and Responsibilities

• Oversee daily business operations and provide executive/operations support.
• Manage scheduling, documentation, and workflow coordination.
• Perform bookkeeping duties using QuickBooks (invoicing, billing, reconciliations).
• Prepare reports, proposals, and project documentation.
• Communicate with clients, vendors, and internal teams with clarity and professionalism.
• Assist with project tracking, permitting documentation, and administrative support for technical teams.
• Maintain organized digital and physical filing systems.
 

Required Skills & Qualifications

Proficiency in QuickBooks (billing, AP/AR, financial tracking).
• Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Excellent communication and interpersonal skills.
• Proven experience supporting day-to-day business operations.
• Ability to handle sensitive information and maintain confidentiality.
• Strong organizational skills with attention to detail.
• Experience working in construction, architecture, or engineering environments (preferred).
• Ability to multitask and remain calm under pressure.
• Familiarity with informed communication or experience working in high-stress settings (a plus).
