Role Purpose Statement

The Purchasing Clerk is responsible for ensuring the timely and accurate procurement of food products and materials to support operational needs. This role plays a critical part in maintaining optimal inventory levels, ensuring data accuracy in SAP, and supporting the Materials department with inventory control and supplier coordination. The Purchasing Clerk contributes to the efficiency and effectiveness of the supply chain by ensuring product availability, minimizing waste, and supporting production continuity.

Main Accountabilities
  • Analyze inventory levels, usage trends, and forecasts to determine appropriate order quantities.
  • Create and manage purchase orders (POs) in SAP based on inventory requirements and supplier schedules.
  • Maintain and update SAP Bills of Materials (BOMs) to reflect current product recipes.
  • Support month-end inventory processes, including physical counts and data entry in SAP.
  • Communicate with suppliers to resolve order discrepancies, delivery issues, and product quality concerns.
  • Identify and report product overages or shortfalls; assist in reallocating or substituting products as needed.
  • Perform daily manual inventory counts and reconcile discrepancies.
  • Collaborate with the Materials department on special projects and continuous improvement initiatives.
  • Perform other duties as assigned by management.
Knowledge, Skills and Experience
  • Strong interpersonal and communication skills, both verbal and written.
  • Ability to work effectively in a fast-paced, high-volume environment.
  • Excellent organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Solid mathematical skills (addition, subtraction, multiplication, division).
  • Availability to work weekends and holidays as required.
  • High school diploma or GED required.
  • 25 years of experience in materials management, purchasing, or clerical roles.
  • Experience with SAP Materials Management (MM) module preferred.
