Position Summary

Work closely with the Director of Sales and Marketing to create sales promotions, organize pro-active sales efforts and monitor incoming guest inquires. Successfully manages and supports a high volume of events and sleeping room blocks, on a daily, weekly, and monthly basis. Work directly with guests to coordinate all aspects of their hotel visit, while generating group sleeping room resumes and banquet event orders. Consistently collaborates with sales and operations teams to successfully produce stellar guest experiences and perfectly executed meetings and events that ‘wow’ our clients. Responsibilities

  • Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests
  • Recognize opportunities to maximize revenue opportunities by up-selling and offering enhancements to create outstanding guest satisfaction for the hotel group
  • Assist the sales team with preparing proposals, generating contracts, creating promotional materials and presentations
  • Negotiate contracts for small meetings; working with clients from the initial inquiry, through planning, execution and follow up.
  • Always provide the highest levels of customer service to internal partners and external clients. Deliver a successful experience for the planner and attendees with the goal of garnering both repeat and referral business.
  • Respond in a quick, timely, and professional manner to all internal partners and external customers and deliver clear and concise communiqué that is representative of Concord Hospitality via all avenues of communication.
  • Manage follow up on inquiries for small meetings/events with or without guestrooms. Gain valuable sales and event planning knowledge by having firsthand experience following up with client inquires and requests
  • Negotiate banquet event orders (BEO). Identify and price customer needs for the event, up-selling where possible, and closing the sale with the customer, collecting the customer deposit and signature on the BEO.
  • Communicate group details/changes to all hotel departments, coordinating customer’s needs with other property business and activities to ensure customer’s expectations are met and the property operates efficiently
  • Present potential business at sales meetings to determine best mix of customers for hotel to attain budgeted revenues. Conduct meetings with client and hotel staff to ensure each event and group sleeping room block meets client’s expectations.
  • Finalize and detail catering plans for groups and communicate effectively. Completely orchestrates these functions on-site. Empowered to do whatever it takes to solve problems.
  • Develop best practices for prospecting new banquet business using a wide variety of methods including phone calls, outside sales calls, trade shows, attending community functions, blitzes, internet prospecting, supplier partnerships, etc.
  • Monitor blocked space and sleeping room blocks to ensure group is meeting their contractual obligations. Initiate release of blocked sleeping room blocks on cut-off date to allow sale of these rooms to other customers.
  • Assist the sales team in managing calendars, important document organization, and weekly tasks. Communicate guest arrival details with other departments of the hotel and key partners.
  • Gain knowledge of hotel’s food and beverage products, pricing and presentation, and learn about the hotel’s function space, audio visual, and any other details related to event success.
  • Other duties as assigned.

Skills

  • Demonstrate excellent time management, self-motivation, and organizationally savvy
  • Exhibit computer skills to include word processing, spreadsheets, and familiarity with bran specific property Management System(s). Use knowledge of Word, Excel, Internet, Outlook.
  • Exceptional communication skills through phone, email, and print.
  • Works with a keen attention to detail
  • Excels in fast paced sales environment with the ability to multi-task
  • Collaborates well with both guests and internal hotel departments
