Job Description



Coordinate and manage educational services for incarcerated students enrolled in Glenville State University’s Prison Education Program at HCC&J. Ensure smooth operations between university departments, prison staff, and students.

Examples of Duties:

Core Responsibilities
 Program Coordination

  • Work with various stakeholders (faculty, financial aid, registrar, etc.)
  • Plan course schedules and rotations aligned with degree requirements
  • Maintain records and reporting for students and faculty
  • Facilitate security paperwork for GSU faculty, adjunct instructors, and staff who teach or assist students within the facility

Student Support

  • Academic advising and support
  • Assist with documentation like applications, transcripts, financial aid
  • Regular student and staff meetings
  • Proctor exams as needed

 Course Materials & Registration

  • Handle textbook logistics (ordering, delivery/pickup)
  • Process registrations
  • Share instructional resources with faculty

 Financial Aid Support

  • Liaise with Financial Aid Office to ensure compliance

 Compliance & Training

  • Attend training sessions, maintain policy compliance
  • Support a respectful and efficient working environment

HCC&J-Specific Duties

  • Coordinate with Inmate Employment Office
  • Supervise inmate workers (TAs, tutors), complete timesheets and evaluations

 If OIS Access is Granted

  • Manage student eligibility, incident reports, records, and other items necessary for the GSU PEP through the West Virginia Division of Corrections and Rehabilitation (WVDCR) system

Typical Qualifications:

Minimum Qualifications

  • Required: 
    • GED/ High School Diploma
    • Valid Driver’s License/ state issued ID for entry into the correctional facility
    • Able to pass a background check for both GSU and the correctional facility (fingerprinting at the facility may also be required.)
  • Experience or Willingness to Learn in any of the following areas:
    • Program coordination or case management
    • Teaching or adult education
    • Comfortable and experienced working inside correctional facilities
    • Experience with Excel, Word, and videoconferencing software (e.g., Microsoft Teams, Zoom)

  • This role is part of a broader initiative to expand educational opportunities in prisons, and it plays a crucial part in student success and reentry preparation.
  • Physical presence is essential—this is not a remote or desk-only position.
  • Interaction with incarcerated individuals, prison officials, and university staff requires professionalism, empathy, and strong interpersonal skills.
