Legal Operations Specialist

POSITION LOCATION

Lynchburg, VA (Hybrid schedule with Tuesdays and Wednesdays onsite)

YOUR ROLE

The Legal Operations Specialist plays a critical role supporting the Legal departments Life Insurance & Annuities (L&A) operational functions. This role involves managing legal review requests, conducting policy research, coordinating escalations, and ensuring accurate documentation and compliance across various legal and business processes. The ideal candidate is detail-oriented, resourceful, and comfortable navigating legacy systems and complex legal documentation.

What you will be doing

Legal Review Request Management & Escalation Support

  • Conduct initial review, coordination, and record retention of:
  • L&A requests for legal analysis
  • Licensing & Commissions producer questions and agent change requests
  • Tax Levies
  • Department of Insurance (DOI) and consumer complaints
  • Assist with escalations involving lapse/reinstatement, refund of premium, and face amount reduction exceptions
  • Utilize legacy systems to conduct specialized policy research for legal analysis and to respond to business inquiries
  • Service of Process & Subpoena Response
  • Review incoming L&A legal filings and subpoenas and determining appropriate handling
  • Compile responsive documents to subpoenas, draft response and route to appropriate legal contacts for review

Administrative & Operational Support

  • Book travel, manage expense reimbursements and pay invoices (e.g., bar dues, legal research tools and memberships)
  • Maintain and request archived records for legal documentation and records retention
  • Handle incoming first-class and express mail deliveries and process or route to the appropriate department for handling
  • Respond to inquiries from other departments involving requests for contract samples, legacy systems, and historical legal reviews

What you bring

  • High Diploma or GED
  • 5+ years in insurance operations
  • Strong research, documentation and organizational skills
  • Excellent written & verbal communication abilities
  • Proficiency in Microsoft Office
  • Ability to manage multiple priorities and work independently

Nice to have

  • Legal support experience
  • Familiarity with legal compliance, policy administration, and service of process procedures
