The Workforce and Scheduling Coordinator will manage employee schedules, ensuring proper staffing levels across various departments to meet operational needs. This role will coordinate shift assignments, track attendance, and work closely with department managers to optimize workforce utilization. The Workforce and Scheduling Coordinator will also assist with scheduling adjustments and ensure compliance with labor laws and company policies.

How YOU can Make an Impact:

  • Scheduling Management: Prepare, update, and distribute schedules for all facilities using applicable scheduling systems, ensuring that schedules are published to employees in a timely manner. Ensure that all schedules align with the organization's operational requirements and comply with contractual obligations.

  • Contractual Compliance & Discrepancy Management: Ensure that all schedules meet the requirements outlined in contracts. Investigate any discrepancies in scheduling and staffing levels, promptly reporting findings to management, and making necessary adjustments to stay within contract guidelines.

  • Data Analysis & Reporting: Create and maintain reports, dashboards, and historical data analyses using available scheduling and workforce systems. Use these reports to identify trends, forecast future staffing needs, and make data-driven recommendations for operational improvements.

  • Talent Management Solutions: Analyze workforce data and recommend actionable talent management strategies, including adjustments to staffing levels, recruitment plans, and retention initiatives. Drive the integration of these solutions into scheduling and workforce planning processes.

  • Weekly Scheduling Recommendations: Develop and recommend staffing schedules on a weekly basis by assessing staffing requirements, operational needs, and contractual obligations. Ensure that staffing levels meet the organization's ability to fulfill operational commitments without exceeding budgetary constraints.

  • Staffing Forecasting Tools: Create and maintain integrated tracking tools that monitor staffing shrinkage patterns (e.g., vacation, sick leave, training, etc.). Use these tools to optimize staffing forecasts and ensure that the right number of employees are scheduled to meet operational needs.

  • Holiday Coverage Forecasting: Maintain holiday scheduling forecasts to ensure adequate coverage during peak holiday periods. Work proactively to address potential scheduling conflicts and ensure that operational capacity is not compromised during holidays.

  • Staffing Variance Management & Billing: Perform monthly staffing variance audits and prepare associated contractual billing reports. Ensure that staffing discrepancies are accurately documented and communicated, and that any required adjustments are made in a timely manner.

  • Temporary Staffing Coordination: Evaluate the need for temporary staffing to address staffing shortages and operational gaps. Approve and manage temporary staffing arrangements, ensuring that any temporary hires meet the operational needs and contractual requirements of the facility.

  • Travel & Logistics Coordination: Arrange cost-effective travel accommodations for the Regional Nurse Team and other key staff members as needed. Oversee travel authorizations and manage hotel bookings and other logistical arrangements in compliance with company policies.

  • Workforce Audits & Compliance: Conduct periodic audits of workforce performance, staffing patterns, and scheduling practices to identify areas for improvement. Ensure that staffing practices comply with all relevant regulations, contractual agreements, and company policies.

  • Perform other related duties as assigned.

What we Ask of YOU:

  • Bachelor's degree in a relevant field (e.g., Human Resources, Finance, Sales, Business Administration, Healthcare Administration, or related discipline) from an accredited institution preferred.

  • Additional certifications or specialized training may be required depending on the function (e.g., Certified Human Resources Professional (PHR) for HR roles, Certified Public Accountant (CPA) for Finance roles, etc.).

  • Minimum of 2-3 years of relevant experience in the specific functional area (e.g., HR, Finance, Sales, Marketing, Operations, etc.).

  • Experience in healthcare, correctional healthcare, or a regulated industry is preferred.

  • Demonstrated success in applying function-specific skills (e.g., employee relations for HR, financial reporting for Finance, or sales strategy for Sales) is required.

  • Knowledge of relevant industry-specific regulations, compliance standards, and best practices may be required, particularly for roles in highly regulated functions like HR and Finance.

  • Relevant industry certifications based on the role (e.g., PHR, SHRM-CP, CPA, etc.).

  • Active CPR/BLS certificate required (American Heart Association/American Red Cross guideline approved), if role is located in a correctional facility.
