Job Duties
Serves as Mail Center Manager:
Develops & updates mail center procedures;
Create & updates mail stops & outgoing mail codes;
Oversees shipping services (e.g., FedEx, USPS program projects);
Consolidate mail center staff weekly tracking spreadsheets to create monthly reports on shred bin activity, paper delivery, & Pitney Bowes activity;
Oversees mail center records & writes reports;
Oversees Pitney Bowes tracking software, updating customer information, assisting with customer inquiries, makes recommendations for improvement;
Serves as backup to inventory control specialist in processing incoming & outgoing mail & material shipments.
Assists supervisor with the programs & services of the office:
Provides explanation of & carries out routine policies & procedures as related to office functions (e.g., facilities management policies; mail center policies & procedures);
Gathers, prepares & maintains records;
Maintains office inventory & records retention schedules;
Maintains facilities request mailbox to track & monitor facilities related activities (e.g., staff request for services);
Responds to customer requests including post-request follow-up;
Receives and reviews employee badge access requests and submit to supervisor for approval;
Submits building related requests into DAS maintenance portal & forwards non-building related requests to supervisor for review & approval;
Provides weekly report on facility-related requests;
Make recommendations on improvement opportunities;
Organizes & inventories consolidated supplies, assists with customer requests;
Analyzes & provides weekly updates on current inventory & weekly disbursement;
Makes recommendations on excess supplies for surplus;
Fulfills key requests;
Oversees name plate process;
Assists with asset management responsibilities & serves as backup;
Assists with Ohio Buys requirements;
Provides administrative support tasks for office.
Performs other duties as assigned.
If this position is filled with an internal employee who has an approved telework agreement, the employee may be required to report in-person during the initial training period.

Qualifications
6 mos. trg. or 36 mos. exp. in business administration, management science or public administration. If assigned to operate vehicles regulated by Section 4506.01 of Revised Code, applicants must also have valid commercial driver's license.
-Or completion of undergraduate core program in business administration, management science or public administration; 12 mos. trg. or 12 mos. exp. in supervisory, administrative &/or managerial position which involved limited research & public contact. If assigned to operate vehicles regulated by Section 4506.01 of Revised Code, applicants must also have valid commercial driver's license.
-Or completion of undergraduate core program in academic field commensurate with program area to be assigned per approved Position Description on file; 12 mos. trg. or 12 mos. exp. in supervisory, administrative, managerial &/or staff position which involved limited research & public contact. If assigned to operate vehicles regulated by Section 4506.01 of Revised Code, applicants must also have valid commercial driver's license.
