Position Title: Customer Service and Administrative Assistant

Status: Temp 4 months

Location: Mid-town Manhattan, New York City

Hours: MonFri, 8:30 am- 5 pm

Pay: $24/hr

Job Summary

Established Publishing Company is seeking a Customer Service and Administrative Assistant to oversee customer service for 3 ecommerce websites and provide general office administrative and front desk support for a 40+ person office.

Essential functions:

  • Provide exceptional customer service support for three ecommerce sites using Gorgias
  • Respond promptly to customer inquiries via company channels, email and chat
  • Ensure customer satisfaction, including processing orders and requests, such as missing pieces, quality complaints and replacement orders, including communication with our warehouse
  • Answer incoming phone calls to the companys customer service phone line Mon-Fri 9am-5pm EST
  • Order and manage office supplies including kitchen, lunchroom, work supplies, conference rooms, and bathrooms
  • Assist with requests for product donation and charitable contributions
  • Greet visitors and coordinate meeting room schedules, set-up and clean up after use
  • Act as the key contact for building management for building issues
  • Organize outgoing and incoming mail from all carriers
  • Execute administrative office communication regarding announcements as directed
  • Work closely with IT in the on-boarding and off-boarding processes
  • Prepare expense reports for President and Director of Marketing
  • Assist in Office Holiday party planning. Make reservations, etc.
  • Assist in arranging delivery of gifts and maintaining gift list

Minimum Qualifications :

  • Prior customer service and/or administrative experience.
  • Preferable knowledge of Gorgias, Zendesk, Shopify or similar software
  • Tech-savvy with experience in E-Commerce
  • Ability to prioritize and manage time effectively to meet deadlines
  • Excellent written and verbal communication skills
  • Strong organizational skills and exceptional attention to detail
  • Proficiency in Microsoft Word and Excel required
  • Personable, able to work independently
