Job Title: Sr. Associate Maintenance Planner
Pay Rate: $40-43/hr.
Location: Fully onsite
Schedule: Standard business hours; no shift rotation
Job Summary:
The Sr. Associate Maintenance Planner is a key member of the maintenance team, serving as the centralized point of contact for all work order administration. This role is responsible for ensuring timely execution, compliance, and continuous improvement of maintenance planning and documentation processes through the CMMS (Maximo).
Key Responsibilities:
Manage all tasks related to work orders to ensure timely and compliant execution
Maintain accurate and organized records of work orders in alignment with operational protocols
Serve as the primary point of contact for work order inquiries and escalations
Collaborate with planners, schedulers, and JLL personnel to streamline workflows
Monitor and manage CMMS (Maximo) data quality
Act as the point of contact for audits and inspections related to Maximo/work orders
Lead backlog meetings and provide updates on outstanding work orders
Provide CMMS training and guidance as needed
Manage incoming work orders and validate content for accuracy and completeness
Ensure priority alignment between requestor input and due dates
Validate that all mandatory work order fields are populated prior to routing
Confirm correct work type is selected in accordance with SOP-416279
Cancel or return work orders that do not align with SOPs or business standards
Ensure documentation is properly attached to cancellation requests
Confirm compliance for CC, CE, and AAE work orders prior to routing
Route work orders electronically via workflow and manage paperwork approvals
Review AAE work orders and associated documents for completeness
Process and upload attachments to work orders in the CMMS system
Manage disposition of paperwork and digital order attachments
Update CMMS records where applicable (non-AAE WOs per SOP-416279)
Track cancellations, returned WOs, and post-work statuses to ensure timely closure
Monitor maintenance backlog and follow up on past-due work
Track preventive maintenance completion toward the end of each month
Monitor and report on KPIs and maintenance performance metrics
Perform preventive maintenance alignment and historical analysis reviews
Serve as the site service manager for Maximo
Support system owners with Maximo data entry and maintenance
Act as a backup for planners and schedulers
Manage "Work Orders Waiting Attention" and post-status updates
Basic Qualifications:
High School Diploma or GED with 2+ years of relevant work experience
OR
Associate's Degree with 6+ months of relevant work experience
OR
Bachelor's Degree
