MSP is a fast-paced association management company based in Rockville, MD, serving over 20 clients. We are seeking an Exhibits Manager to oversee the planning, coordination, and on-site execution of exhibit halls for assigned client meetings. This role also includes limited responsibility for sponsorship sales and fulfillment tied to those same events (approximately 20% of the position). The Exhibits Manager is a client-facing, logistics-driven role that requires strong communication skills, outstanding attention to detail, and the ability to manage competing priorities across multiple projects. This is a goal-oriented position, with assigned revenue targets for both exhibit sales and sponsorships. Qualified candidates should have at least 2 years of experience planning or supporting meetings or trade shows, be highly organized, adaptable, and capable of working both independently and as part of a collaborative team. Strong problem-solving skills and comfort with fast-paced environments are essential. Travel is required. Experience with association clients is preferred, and familiarity with platforms such as MemberClicks and Cvent is a plus. After successful completion of a 90-day probationary period, employees may be eligible to work remotely up to two days per week with supervisor approval. MSP offers an excellent benefits package. JOB SPECIFIC DUTIES: EXHIBITION MANAGEMENT (approximately 80%) Serve as the primary exhibits lead for assigned MSP client meetings that include an exhibit hall component Prepare, write, and edit the exhibitor prospectus for each meeting Manage and update exhibitor databases across multiple clients Solicit new exhibitors and retain returning exhibitors through proactive outreach Coordinate with decorators and contractors to finalize exhibitor kits, service forms, and deadlines Develop and revise exhibit floorplans as needed; assign booth/table locations and issue confirmations Process exhibitor applications and maintain accurate records for internal and client reporting Communicate key logistical details to confirmed exhibitors, including "know before you go" materials and on-site instructions Ensure exhibitor listings and logos are submitted and published across websites, mobile apps, signage, and marketing materials Coordinate all exhibit hall logistics, including internet, security, catering, AV, furnishings, and other vendor services Serve as the on-site lead for all exhibit hall operations, including exhibitor move-in, show hours, and teardown Provide timely pre-event status reports and post-event evaluations for internal use and client review Maintain clear and proactive communication with internal MSP teams, vendors, and client stakeholders throughout each planning cycle Track and manage multiple exhibit timelines and deadlines across the annual event calendar SPONSORSHIP SUPPORT (approximately 20%) Manage sponsorship sales and fulfillment for meetings with an exhibit hall, specifically those assigned to the Exhibits Manager Identify new sponsorship opportunities and actively solicit sponsors, mostly drawn from the exhibitor base Retain and re-engage previous sponsors by managing outreach and follow-up communications Assist with development and updates to the sponsorship prospectus for assigned events Collect sponsor logos and branding materials; work with the Marketing Department to ensure correct usage in signage and digital platforms Track deliverables to ensure all sponsor benefits are fulfilled accurately and on time Support sponsor confirmation, invoicing, and acknowledgment communications Additional duties as assigned QUALIFICATIONS 2+ years of experience in event planning, exhibit/trade show management, or a related field Proven ability to manage multiple projects and deadlines with attention to detail Strong written and verbal communication skills, including client-facing interactions Comfortable initiating and receiving phone calls as part of daily responsibilities, including outreach to exhibitors and sponsors, vendor coordination, and client communication Experience working with vendors, decorators, or general service contractors preferred Proficiency in Microsoft Office Suite; experience with event management or CRM platforms (e.g., CVENT, MemberClicks, ExpoFP) a plus Ability to travel approximately 25% annually, with occasional evening or weekend work during events Comfortable working independently as well as collaboratively within a fast-paced, team-oriented environment Travel is required as needed, up to 5 times per year. Event travel may last 5 or more consecutive days for events.
