Job Title: Administrative Assistant Department: FAES | Food Science and Technology

Serve as the primary administrative support for the Department Chair, faculty, staff, and students in the department of Food Science and Technology (FST) in the College of Food, Agricultural, and Environmental Sciences. In this role, the Administrative Assistant will provide a wide range of high-level administrative support to the Chair including but not limited to maintaining the Chairs calendar, communications, APT and POA processes, and files. Independently responds to inquiries regarding administrative matters and resolves problems on behalf of the Chair.

Conveys and communicates directives to department faculty, staff, and students. Serves as liaison between the college and department and with internal and external administrators. Prepares administrative reports requiring thorough knowledge of departmental policies and programs. Assists chair in the coordination of departmental Promotion and Tenure process and preparation of documents for college review. Analyzes information and prepares complex reports. Demonstrates proficiency in Interfolio, prepares necessary documentation for assessment and accreditation. Drafts and prepare confidential and routine letters, correspondence, and documents files and records as directed by the Chair.

Makes appointments, coordinate departmental meetings and special events. Attends and keeps minutes and files of faculty meetings at request of the Chair. Advises faculty and staff relative to university policies and procedures. Serves as email list serve administrator and serves on College and Departmental committees. Manages department key requests for the Columbus campus.

Serves as the staff support for any faculty searches and arranges travel and lodging for department guests.

Serves as a backup Pcard Manager for general faculty, staff, and graduate student use.

Serves as building coordinator for Parker Food Science Building. In this capacity, works with pilot plant managers and supervisors, research lab managers and teaching lab managers to submit and follow-through facilities requests and work orders. Attend meetings pertaining to building maintenance and operations and disseminate information concerning building functions. Calls in work orders and research and provides information to support decisions regarding building operations.

Minimum Education/Experience Required

Per Classified Civil Svc Specs or equivalent combination of education and experience. High School diploma or GED required. Associate degree or bachelors degree in business administration or related field preferred. 4 years of relevant experience required. 6 or more years of relevant experience preferred.

Required Qualifications: Significant office and customer service experience with ability to work independently. Excellent verbal and written communication skills and proficiency with software programs in Microsoft Office such as Outlook, Excel, and Access. Considerable experience with Microsoft Office (Word, PowerPoint and Excel); excellent verbal and written communication skills; and ability to multi-task, keep organized and is detailed oriented.

Desired Qualifications: Considerable knowledge of university policies and procedures, including expenditure policies, procurement and travel (utilizing Workday); strong problem-solving skills; 4-6 years experience in an Ohio State University administrative/and or fiscal capacity. Experience with OSU travel, web-based software, In Design, Adobe Photoshop, and technical editing of publications. General knowledge of Extension programs and of OSU University policies and procedures.

The pay range for this profile is $24.76 - $32.33/hourly. The offer for this position will fall within this range based on internal equity, units available budget, and the candidates qualifications
