Senior Executive Assistant

Position Purpose:

The Senior Executive Assistant provides administrative support and assistance to Senior Vice Presidents and/or Executive Vice Presidents responsible for a System-function at Mount Carmel Hospital System. Functions within the standards, policies, procedures and guidelines of the organization. Organizes, reviews and prioritizes operational activities; researches and responds to information requests; prepares correspondence and specialized documents; oversees and coordinates scheduling activities and performs general office support services. Provides problem solving, works independently, responds to confidential requests and manages administrative detail of special projects. Possesses considerable knowledge of organizational structure, operations, services, goals, and key personnel and provides significant office experience necessary to determine appropriate methods to follow and to deviate from standard course of action in achieving end results. Has no supervisory, purchasing or financial authority but is authorized to order departmental office supplies and may be authorized to execute special function requisitions for the Senior Leader. Is responsible for completing all work assigned on or ahead of schedule, and for requesting clerical assistance if assigned work exceeds output capacity. Uses standard office equipment which may include such equipment as a personal computer, word processor, calculator, fax and copier machines. Coordinates activity to facilitate efficient workflow. May support other leaders as required.

Minimum Qualifications:

Education: High school graduate or equivalent required. Graduate of a Secretarial School or Business School preferred.

Experience: Minimum of five years 5 years progressive administrative support experience required, preferably within an executive or middle management work environment.

Effective Communication Skills

Proficient with personal computer, Windows and Microsoft Office Suite.

Proficient with maintaining calendars.

Excellent verbal communication skills including correct grammatical usage, tact, diplomacy and good judgment with respect to confidentiality/privacy

Ability to compose and type grammatically correct letters, minutes, memoranda and other correspondence as requested

Flexible, dependable, reliable person with ability to organize/prioritize multiple responsibilities and perform well under pressure

Ability to work well with members of the Mount Carmel Health System senior management team and administrative support group

Ability to act as a liaison with physicians in relaying issues to executives in the absence of executives.

Demonstrated ability to work independently, without formal instruction and to adapt quickly to competing priorities, conflicting deadlines and unexpected assignments. Ability to resolve problems and exercise judgment and initiative in achieving end results and maximizing outcomes. Ability to accomplish assignments accurately and promptly in order to garner credibility, confidence and support.

Ability to plan, organize and accomplish assignments in an efficient and effective manner and with a high degree of professionalism. Strong interpersonal and human relations skills to communicate effectively with others internal and external to the organization. Professional telephone etiquette skills.

Strong analytical and problem solving skills in order to research, compile and analyze data from multiple sources. Ability to understand and perform mathematical computations in order to process expense reports, monitor disbursements and reimbursements.
