Off ice Support Specialist

Location: East Providence, RI
Employment Type: Full-Time
Pay: $20/hour
Reports To: Assistant to the Company Owner

About Us:
We are a growing contracting company seeking a tech-savvy, organized, and detail-oriented Office Support Specialist to help keep our operations running smoothly. This role is vital to supporting daily office functions, organizing job files, communicating with clients, and helping manage the owner's schedule.

What You'll Do:

  • Organize Files: Create and maintain a structured filing system for physical receipts, documents, and job-related paperwork.

  • Manage Digital Records: Upload and properly label client information, photos, and documents in JobTread (our project management system).

  • Support Scheduling: Keep the owner's call schedule updated. Confirm next-day appointments via phone, email, or text. Ensure client profiles are complete.

  • Handle Incoming Calls: Answer phones professionally and direct inquiries to the right team member.

  • Send Newsletters: Assist with the preparation and sending of a weekly email newsletter (content provided).

  • Provide General Support: Help with other administrative duties to keep the office and job flow organized.

What We're Looking For:

  • Strong attention to detail and organizational skills

  • Comfort with technology and willingness to learn new systems (JobTread experience a plus)

  • Clear and professional written communication

  • Friendly phone presence

  • Prior office or administrative experience preferred

  • Ability to work independently and adapt to changing priorities

Compensation: $20/hour
