The Department of Physics seeks a team-oriented and detail-driven administrative assistant to coordinate and support departmental events, activities, and undergraduate office operations. This position maintains and manages department communications, including website and social media content to reflect accurate information and promote department activities and events and adhere to accessibility standards.
This position coordinates a broad range of internal and external events and activities in support of the department including but not limited to organizing undergraduate events, student programs, seminars and colloquia, outreach activities, conferences, lectures, collaborative events, and other departmental activities.
This position serves as a main point of contact for students in the undergraduate office, provides support to the vice chair of undergrad studies, and serves as a representative of the department to students, visitors, guests, recruitment candidates, donors, and vendors.
This position coordinates, schedules, and manages departmental events; initiates and supports travel, purchasing, reimbursements, and expense tracking related to events; coordinates payment and service contracts; schedules and facilities meetings; secures spaces and virtual platforms (i.e. Zoom and Microsoft Teams) for meetings and events; manages event registration processes including communication with speakers and event attendees; provides exemplary service when responding to requests and inquiries; coordinates with the administrative staff to manage event administrative duties ; organizes and maintains departmental records and files; creates announcements and produces advertising/marketing materials; creates and reviews communications, correspondences, reports, and presentations for events;
Supervises student employee(s); performs other duties and special projects as assigned.
Minimum Required Qualifications:
High school degree or GED. Two years of relevant experience required.
Desired Qualifications:
Bachelors Degree; working knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and social media platforms; prior experience with event planning in an academic environment; experience with Workday, Drupal and SIS systems.
Additional Information:Salary Range: $21.11-$27.77
*The offer for this position will fall within this range based on internal equity, the units available budget, and the candidates qualifications.
