Join Our Team as an Accounts Payable / Human Resources Coordinator!

As the Accounts Payable / Human Resources Coordinator, you will play a crucial role in ensuring the smooth operation of our financial and HR processes. Accounts Payable:

• Process all vendor invoices accurately and on time in Quickbooks Desktop
• Match invoices to purchase orders and verify pricing/ quantiy
• Ensure proper coding of expenses to the correct job/project
• Maintain vendor files with current W-9, insurance certificates, and any required comlpliance documents
• Track due dates and prevent late payments
• Flag and resolve discrepancies with vendors promptly
• Ensure compliance with Generally Accepted Accounting Principles

Vendor Management:

• Serve as the primary point of contact for vendors
• Negotaite payments terms when needed
• Keep vendor compliace recordsup to date
• Follow up with vendors who submite incomplete or incorrect paperwork

Human Resources:

• Maintain organized, complete employee personnel files
• Assist with recruiting new employees (posting open positions to job boards, setting up interviews, etc.)
• Onboard New Hires and Offboard terminated employees, ensure all documentation is completed and accurate
• Stay infomed on HR compliace requirements for companies under 50 employees
• Maintain confidentiality of all employee and payroll information
• Assist with payroll process in ADP for field and office staff
• Verify hours worked, overtime, PTO, and deductions before submitting payroll
• Maintain payroll records and ensure compliance with labor laws
• Resolve payroll issues quickly and communicate resolutions to employees

Required Skills:

• Proficient with Quickbooks Desktop and MS Office (Excel, Word, Outlook, etc)
• Strong attention to detail and organization skills
• Strong knowledge of accounting principles
• Knowledge of payroll processing and HR compliance
• Experience with audit support
• Ability to handle confidential information with descretion
• Excellent communication and problem-solving skills

Salary and Benefits:

This position offers a competitive salary ranging from $45,000 to $55,000 annually, based on experience. In addition, we offer a comprehensive benefits package that includes health insurance, life insurance, dental insurance, vision insurance, 401(k) with company match based on years of employment, holiday pay, and paid time off.
